Job Purpose
The Assistant Administrative Officer is responsible for supporting the overall administrative functions of the university by ensuring efficient office operations, record management, coordination with various departments, and assisting in the implementation of policies and procedures. The role involves handling routine administrative tasks, facilitating communication, and providing logistical support to ensure smooth functioning of the institution.

Key Responsibilities

Administrative Support & Office Management:

  • Assist in managing daily administrative tasks ensuring smooth operations and compliance with university policies.
  • Handle official correspondence, maintain documentation, and organize records related to academic and departmental activities.
  • Maintain and update faculty, staff, and student records, ensuring accuracy and confidentiality.
  • Monitor office supplies, facilitate procurement, and ensure availability of necessary materials for academic and administrative functions.

Coordination & Communication:

  • Act as a liaison between the Office of the Registrar and other university departments to facilitate effective communication and coordination.
  • Assist in scheduling and organizing meetings, preparing minutes, and ensuring follow-up on decisions and action items.
  • Support the planning and execution of university events, academic activities, seminars, and departmental meetings.
  • Address inquiries from faculty, staff, students, and external stakeholders regarding administrative and academic matters.

Academic & Student Support:

  • Assist in processing student enrollment, registration, and academic records in collaboration with the Registrar’s Office.
  • Provide administrative support for course scheduling, exam coordination, and student advisement sessions.
  • Ensure timely communication of academic policies, deadlines, and announcements to faculty and students.
  • Support faculty members with documentation, report preparation, and research-related administrative tasks.

Reporting & Compliance:

  • Maintain and update administrative reports, databases, and confidential records in both academic and departmental settings.
  • Assist in preparing reports on administrative efficiency, student records, and department activities.
  • Support the implementation of institutional policies and procedures, ensuring adherence to university regulations.

Qualification & Experience

Educational Qualification:

  • Master’s degree in any discipline.

Experience:

  • Relevant experience in any University, NGO, MNC or large local organizations will get preference.

Language Skill:

  • Strong written and spoken communication skills in both Bangla and English.

Core Competencies:

  • Strong organizational and time-management skills.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint) and administrative software.
  • Excellent verbal and written communication skills.
  • Ability to multitask and work effectively under pressure.
  • Strong problem-solving skills and attention to detail.
  • Ability to maintain confidentiality and handle sensitive information professionally.
Salary & Allowances As per University policy.
