Job Profile: Finance and Admin Officer
Introduction

Solidaridad (www.solidaridadnetwork.org) Works across 40 countries through 8 Regional Expertise Centres (REC) to foster sustainability and empowerment of smallholders and workers, by developing scalable and economically sustainable solutions in the agricultural and industrial landscape in close collaboration with governments, businesses, and communities. Solidaridad is also working to strengthen civic space for enhancing productivity and inclusivity in the commodity supply chain/value chain in Bangladesh.
Supported by the Dutch Government, Solidaridad is planning to implement the project ‘SAFAL for Integrated Water Resources Management (SAFAL for IWRM)’ put forward a community-based water management model for enhancing sustainable use, protection and restoration of Watersheds for resilient agriculture through operationalization of IWRM in Southwest Bangladesh. It will improve and diversify coastal agriculture along with dairy of SW Bangladesh through innovative ecosystem-based water and land use planning that would provide greater climate resiliency and economic return for the coastal communities.
Overall Job Description
The Finance and Admin Officer is delegated with overall responsibility for providing financial services in order to ensure effective, efficient and accurate financial operations as well as perform a range of administrative, logistic and procurement responsibilities. The Finance Officer is accountable for managing day to day accounts operations and keeping all the organization’s finances are precise and up to date. Also, S/he will manage office stock, prepare regular reports on office expenses and maintain records of procurement and asset list.
Major Duties and Responsibilities:
Management of accounts and finance administration of SaFaL Cooperatives and VSMs
- Regular update, periodical review and maintain books of accounts;
- Receive, review finance files from all filed offices and update them in the main system;
- Monitor banking activities for cooperative’s business and VSM of the organization;
- Ensure adequate cash flow to meet the cooperative business operation.;
- Monitor the financial transaction of the cooperative business and VSM and provide adequate support and training for cooperative members to update their accounts in time
- Ensure daily business performance report of cooperative business and prepare monthly financial statement of all Cooperative businesses and VSM including Bank reconciliation
- Prepare monthly store management report
- Work with Regional Finance Officer for ensure VAT and Tax report submission.
- Ensure all administrative work of the office compound especially open, closing, utilities monitoring, production unit monitoring, trading monitoring and cleanness of the compound.
- Help/Assist to keep all logistics and distribution cost and ensure the all checking procedures.
- Ensure withdrawal, deposit and collection of the cooperative business-related transaction
- Ensure the all inventory of the office compound
- Acting for any regulatory needs of the office compound and cooperative business
Effective Office Management, Office Security, and asset management
- Maintain a register for all assets of the VSM.
- Ensure the required maintenance and repair (if required)
- manage office stock, prepare regular reports
- Ensure the Security of the VSM promises
- Ensure the connectivity of all CCTV, cameras are active and working.
- Assist in preparing and documenting financial and procurement files.
- Coordinate and manage vendor payment as needed;
- Petty cash management (if required)
- Fixed asset and materials store management.
- Provide comprehensive support for maintaining organizational administration and information systems;
- Manage and maintain contract agreements, invoices, expenses and other admin and finance activities;
- Provide project management administration support including managing sign off and commissioning of work;
General Administration
- Ensure that all office equipment is in working order at all times
- Receive and send postal, courier packages addressed to the employees of the organization and sending to the addressed person correctly and maintaining register accordingly.
- Provide other administrative support as required, including support to team members
- Perform other related duties as required.
Education
Commerce/ Business Administration Graduate
Performance standards (Experiences and Competencies)
- Minimum 3 years of relevant experience related to the above duties and responsibilities
- Professional computer skills especially in MS office, Excel, Word and PowerPoint;
- Ability to establish and maintain satisfactory relationships with different stakeholders relevant to Solidaridad work in Bangladesh;
- In-depth understanding of office management and operation procedures;
- Skills of general accounting procedures- Accounts, Finance, Audit, Tax (VAT/ Customs Duty/ Income Tax);
- Proven understanding on organizational financial and operational procedures; providing technical advices and support to the partners and stakeholders;
- Skill to track programme budget and expenditure;
Person Specifications & Attributes
- Good communications skills (written and verbal)
- Ability to coordinate and manage multi-task with tight deadlines;
- A highly cooperative team player possesses willingness to work collaboratively with staff of different disciplines;
- Reporting and quantitative analytical ability and fluency in English;
