Organization and the Program:

Established in the USA in 1969, Sesame Workshop is a nonprofit international organization on a mission that keeps us focused, passionate, and moving forward to help children grow smarter, stronger, and kinder, and do everything possible to meet their needs in more than 150 countries. Sesame Workshop has been implementing “Play to Learn” project, a $100 million grant from the LEGO Foundation to support a new early childhood development (ECD) initiative for millions of children affected by the Rohingya and Syrian refugee crises. The six-year program (2019-2024) leverages the power of learning through play, providing communities affected by refugee crises access to vital early learning opportunities. Together with BRAC and the International Rescue Committee (IRC), and supported by a research partner New York University (NYU), the Play to Learn program reaches Rohingya and host community children and their families in Coxs Bazar in Bangladesh through direct services and mass media programming.

Position Summary: Coordinator, Play to Learn, Bangladesh Humanitarian Programs is a Deputy Manger level position in the structure who will provide daily administrative support to the Senior Director’s office that includes filing, copying, calendar management, obtaining signatures, scanning, tracking documents, note taking, expense report preparation, contract approval, as well as providing documentation support to the program including preparation of internal and external written communications and multi-media presentations; drafting/proof reading and fact-checking of programmatic reports, monthly updates, meeting minutes etc. As a part of a dynamic and changing organization, the Coordinator will need to be an innovative, hands-on team-player with good writing and MS office skills.
 
Major Responsibilities:

Key Area 1: Administrative Job for the office of Senior Director in Dhaka– 50% Time Engagement
Act as the point of contact for the office of Senior Director, Bangladesh Humanitarian Programs and perform the following:  

  • Development and implementation of office organizing systems.
  • Manage information flow in a timely and accurate manner.
  • Manage calendars and set up/confirm meeting schedules with internal and external parties.
  • Organize meetings including venue, food, logistics and documentation.
  • Reception and hosting of international and local visitors including all practical and legal requirements.
  • Maintain contact with relevant sectors and coordinate to manage event schedules.  
  • Trip preparation including arranging travel, obtaining visas, creating itineraries, creating travel briefing documents.
  • Screen and direct phone calls and distribute correspondence.

Key Area 2: Communication and Documentation – 50% Time Engagement

  • Preparation of internal and external written communications, proofreading and fact-checking.
  • Preparation of program summaries, drafting concept notes, drafting of programmatic reports, highlights, case studies.
  • Preparation of multimedia presentations for different stakeholders on program processes, results and advocacy.
  • Take notes during meetings, prepare minutes and circulate to stakeholders.

Required Qualifications

Academic Education: Master's degree in any discipline.

Working Experience: 4 years relevant INGO or NGO experience.  

Job-related Knowledge:

  • Communication and Reporting.
  • Office Administrative work.
  • Maintaining schedule of program head, logistics planning for program visits at national or international level.
  • Hosting international visitors.
  • Outstanding organizational and time management skills.

Skills:

  • Excellent documentation and writing skills in English and Bangla.
  • Excellent multimedia presentation preparation skills.
  • Good MS Office operation skills including PowerPoint, Illustrator, publisher etc.
  • Familiarity with office gadgets and applications.
  • Good planning and coordination skills.
  • Good in teamwork.
  • Manage multiple priorities and workloads.
  • Discretion and confidentiality.
