Job Context
We are seeking a highly organized, proactive, and resourceful Executive Assistant (EA) to provide administrative, organizational, and operational support to His Excellency, the Ambassador of Palestine in Dhaka. The role requires exceptional communication skills and cultural sensitivity.
Key Responsibilities
- Proficiency in English and Arabic (both written and spoken) is mandatory.
- Manage and oversee all secretarial, administrative, and coordination activities of the Ambassador.
- Draft, review, and prepare official correspondences, diplomatic notes, reports, and briefings for the Embassy.
- Coordinate and facilitate meetings and official engagements for the Ambassador, including preparation of agendas and minutes.
- Act as the primary liaison between the embassy and government agencies, ministries, local and international organizations, political parties, media, and other stakeholders.
- Handle email correspondence with various government offices, private sectors, international organizations, diplomatic missions, and civilians.
- Organize and maintain files, diplomatic records, and important documents, making sure to keep records up-to-date for smooth internal and external coordination.
- Ensure smooth day-to-day operational functions of the Ambassador’s office, managing schedules, appointments, and travel arrangements.
- Develop and execute public relations, media communication, and protocol-related activities.
- Proofread and edit articles, and provide research support where necessary.
- Manage the Palestinian scholarship portfolio and all related coordination among universities, government ministries, immigration, etc.
- Provide translation services between Arabic, English, and Bengali when required.
- Handle phone inquiries professionally.
- Maintain databases related to diplomatic contacts, official engagements, contracts, and other essential information.
- Coordinate and manage protocol duties, including assisting with VIP visits, diplomatic receptions, and other official events.
- Support the Embassy in organizing cultural programs to strengthen Palestine-Bangladesh relations.
- Perform additional ad-hoc duties as needed.
Educational Requirements
- Master’s degree in any discipline (preferably in International Relations, Political Science, Public Administration, Business Administration, or related fields).
Experience Requirements
- Minimum 3 to 5 years of relevant experience, preferably in diplomatic missions, government institutions, or international organizations.
Additional Requirements
- Age: 30 to 40 years.
- Both males and females are encouraged to apply.
- Strong understanding of diplomatic protocols, international affairs, and administrative operations.
- Excellent time management skills with the ability to prioritize tasks and work efficiently under pressure.
- High level of discretion, confidentiality, and professionalism in handling sensitive information.
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook), Internet research, and office management software.
- Strong problem-solving skills, attention to detail, and the ability to take initiative.
- Willingness to work extended hours and weekends when required.
- Strong interpersonal and communication skills, with the ability to work in a multicultural environment.
