Job Responsibilities
- Prepare and draft written correspondence- letters/ e-mails/ power point presentations etc.
- Distribute meeting agendas and schedule meeting & events (Internal & External) on zoom/ Physical.
- Maintain database of all important phone number, e-mail address and contact address of important persons, organizations.
- Prioritize and monitor incoming mails, E-mails, Phone calls etc. and follow up outstanding action.
- Record and transcribe different meeting minutes when necessary.
- Keep record of all incoming and outgoing hard copy correspondences, process for necessary action and dispatch outward correspondences.
- Manage and maintain an effective filing system, ensuring that filing is completed on a regular basis.
- Maintain all appointments and meeting schedules of the Executive Director and updating him regularly
- Contact all stakeholders/communications on behalf of the Executive Director through email, phone calls, and other ways
- Prepare working papers for the Board Meetings, Annual General Meeting (AGM) etc.
- Prepare meeting minutes of monthly Senior Management Meeting.
- Prepare drafting of different organizational letters and e-mails.
- Manage works for holding seminars and workshops.
- Maintain all records and ensure information is organized properly and easily accessible.
- Maintain confidential papers, files, and agreements.
- Keep updating a database for all communication of the Executive Director.
- Arrange protocol service, visa, air ticket booking, and hotel reservation and related activities of the Executive Director when required.
- Update and remind the Executive Director for important tasks and deadlines.
- Any other assignments given by the authority time to time.

Educational Requirements
- Master in Social Science, International Relations, Media & Communication, English Literature and Business Communication.
- Must be Highly Proficient in English ( having higher scores inTOFEL/ IELTS is an advantage).
- University of Dhaka, North South University, BRAC University, Bangladesh University of Professionals, Independent University, Bangladesh students will get preference.
- Diploma in Company Secretaryship preferable.
Skills Required:
Analytical and problem solving skills, English Language proficiency, Good communication skill, MS Office, Strong interpersonal skills.
Experience Requirements
- At least 3 year(s)
- The applicants should have required experience in the following business area(s):
Additional Requirements
- Age 27 to 35 years
- Secretarial work experience needs at least 3 years
- Excellent verbal and written communications skills
- Ability to work under pressure and to meet and deliver deadlines.
- Knowledge of office management systems and procedures
- Outstanding organizational and time management skills
- Up-to-date with latest office gadgets and applications
- Ability to multitask and prioritize daily workload
- Discretion and confidentiality
- Sound knowledge of computer literacy, especially MS Office, Internet & other communicative operation applications.
- Should have working experience in performing all kinds of secretarial works of the Executive Director
- Gentle mannered and Leadership quality
Job Location
Salary
- TK. 40,000 – 45,000 (Monthly)
