MJSKS is a NGO working in Northern part of Bangladesh is looking for a qualified Accounts Officer for JTI WaSH Project

Job Nature: Full-time

Qualifications and other requirements: M.Com with 3 years working experience or B.Com with 5/7 years practical experience in financial management of a project

Job Summary:
Maintain Books of Accounts (Cash Book, GL etc), Petty cash, and preparing payment vouchers. Banking, Assist to Project for preparing budget and financial reports. Maintain program advances status and timely adjustments. Assist to comply issues to the staffs Liaison with finance department of MJSKS.

Experience & Additional Job Requirements: Skill in voucher preparation, financial data maintaining, Banking, GAAP, VAT, Tax etc.Assist to work of Project Staff for payment, budget preparation, Cash/advance management good administrative and financial management skills, ability to work in a team, Good interpersonal skill. Computer software skill (MS-Word, Excel and e-mail communication). He/She has to visit field frequently.

Responsibilities

Detailed Tasks

1. Prepare review, analysis and finalization of the all project budgets (monthly, quarterly, annual and multi-year)

  • Read and keep updated files on all innovation  budgetary guidelines and documents
  • Prepare and finalize monthly, quarterly, annual and multi-year budgets with the consultation of Director, DD and the PC using the project monitoring format
  • Prepare the project cash and budget projections for each quarter and review them with the PC and director for final approval and submit according to instruction.
  • Monitor and track budget expenditures regularly with the Donor budget and accounts sections and brief PC/DD/Director
  • Assist PC/Director/DD to respond to the budget section if needed for the donor
  • Report on budget variance with appropriate reasons between initial budget and actual expenditures and assist PC to do so.

2. Provide the project with administrative and logistic support and oversee procurement activities

  • Ensure that all purchase requests are processed and materials are procured/ sent to the project staffs in a timely manner as per Innovation and MJSKS policy.
  • Review the Travel Bill for all staff and other expenses related to field trips with appropriate A/C charging
  • Ensure that the financial, administrative, program and other appropriate guidelines or manuals directed by Habitat for Humanity International-Bangladesh  /MJSKS are regularly updated
  • Ensure that all tickets, vehicles, accommodation, etc. for the project staff,
  • Ensure proper follow up and prompt action for any administrative purposes, when necessary    
  • Check and forward TA/DA Bill, other bill/vouchers, purchase request and other expenses on a regular basis
  • Assist the Habitat for Humanity International-Bangladesh finance department as necessary
  • Ensure to update all the records related to leave files, personnel files, asset register.

3. Maintain Accounts 
related all books of accounts and daily all kinds of bill voucher prepare

  • To maintain Cash book, ledger book, cheque issue register, advance register, stock register, petty cash ledger, Bank book etc regularly and verify from PC.
  • To prepare daily basis all bill vouchers like debit voucher, credit voucher, journal voucher, transfer voucher etc.
  • Office documents filling, record keeping and update Staff personnel file and leave file

4.Ensuring logistic support 
   for office staff and 
   training.

  • Provide to all staff stationary and other materials.
  • To ensure the staff logistic
  • To provide various training materials.
  • Develop a functional inventory system to keep a good truck record of all resources of the project.

5. Preparation and
submission of accounts related all reporting requirements.

  • To prepare monthly, quarterly, and annual financial report and submission to partners timely manner.
  • To prepare financial report like expenditure statement Receipt & payment statement, trail balance, cash recap by bank account bank reconciliation statement etc.
  • To prepare furniture Fixture, Equipment status and submits to partners half yearly & annually

6. Ensure the official security and maintenances of official resources

  • Provide guidance to the Support Staff  to provide adequate and timely supports to the office management team as well as to senior team members
  • Ensue to take care of MJSKS assets, vehicles and other resources through office guard appropriately.
  • Guide the Administrative Assistant to look after all the office resources for it’s proper maintenance.

Salary Range:  28,000/- to 30,000/- with others benefits
