We invite applications for the following position in MCC Dhaka office.
Position: Administrative Officer
Location: MCC Dhaka Office (with occasional field visit)
Function: The Administrative Officer works with the rep and Admin and Finance Director for the timely completion of inward- and outward-facing duties of MCC Bangladesh operations, including office administrative functions, human resources, and government reporting. In addition, this role will also take responsibility for accurate and timely VAT and tax reporting.
Qualifications:
- Master’s Degree in Business Administration, Management, Human Resources, Finance, or any other discipline with relevant working experience preferably in NGO/INGO setting.
- Ability to communicate effectively in both written and spoken English and Bengali, including making correspondence independently.
- Readiness to seek to understand and communicate across cultural and linguistic differences, working with diverse MCC staff, partners, and participant communities.
- Ability to understand, manage and supervise support staff
- Honesty and integrity demonstrated in handling money, assets and MCC relationships with staff, partners, beneficiaries, and broader communities.
- Readiness to work with office software, basic IT, and organization’s own databases
- Experience with VAT and tax reporting preferred.
Responsibilities
Administration:
- Assist in preparing reports for NGO Affairs Bureau, National Board of Revenue, etc. and compiling documents needed for government reporting, expatriate visa applications, etc.
- Maintaining inventories of MCC assets in offices and international staff homes
- Coordinate purchases and asset sales, as required, according to MCC procurement and sales policies and government requirements
- Manage asset inventories according to government standards
- Manage office technologies, purchases and maintenance, in coordination with regional IT coordinator
- Assist and work with Internal and External Audits
- Photocopying/scanning documents when requested
- Coordinate hosting and office celebrations
- Assist in MCC Bangladesh trainings, seminars, etc.
Human Resources
- Assist Director and Rep in HR issues in compliance with Government rules and MCC policy and in communicating Bangladeshi context and law to regional HR Coordinator and North American HR Departments
- Assist in implementation of new compensation model
- Assist in updating MCC National Staff Policy Manual at the beginning of MCC fiscal year.
- Keeping records of staff’s information in Personnel files.
- Assist in coordinating staff recruitment processes.
- Preparing draft HR documents, increment letters, etc. as required.
- Assist Rep and supervisors in ensuring worker care, staff development and other opportunities are well managed
- Manage medical reimbursement process and maintain confidentiality
VAT and Tax Management
- Coordinate monthly preparation of VAT and tax challans and payment for MCC activities
- Ensure organization of VAT and tax challans according to audit requirements
Provident and Gratuity Funds Management
- Maintain Provident Fund and Gratuity Fund Accounts and make entries in the software
- Preparing vouchers, issuing cheques and make final settlements for departing staffs.
- Make monthly deposits PF & GF amounts to PF & GF bank accounts and collect bank statement.
- Preparing forwarding letters, meeting minutes, and submitting documents to Saving Bureaus and Banks when the PF & GF investment matured and deposit the pay order to bank.
- Assist in submitting documents to the auditor during PF & GF account audit.
Supervision
- Supervise one office bearer and one cook, ensuring their well-being and access
- Oversee their cash advances and office-related purchases
Other, according to interests
- Assist in care for participants in youth service exchange programs
Produce, collect and upload media documenting MCC Bangladesh activities
