Senior Officer, Council Affairs

Reports to: Director, Council Affairs and in some cases the Vice Chancellor
Positions Reporting to This Position: Council Affairs Officer (as applicable)

Purpose:
To enhance the effectiveness of the Office of the Vice Chancellor by providing information management support and service, and representing the University Management Committee, Academic Council, Syndicate, Board of Trustees and the ESTCDT.

Main Responsibilities:

  • Organizing the activities of the office of the UMC, Academic Council, Syndicate, Board of Trustees and the Education, Science, Technology and Cultural Development trust.
  • Assisting the Director, Council Affairs in drafting the minutes of the University Management Committee, Syndicate, Board of Trustees and ESTCDT as and when required.
  • Communicating the decisions of University Management Committee, Syndicate, Board of Trustees and ESTCDT to different stakeholders as and when required.

Other Responsibilities:

  • Performing other related duties as assigned by the Chairman, ESTCDT; Chairman, Board of Trustees; and the Vice Chancellor.
  • Assisting the Director, Council Affairs in coordinating the recruitment process of the senior management positions (i.e Vice Chancellor, Pro-Vice Chancellor and the Treasurer) for both Independent University, Bangladesh and Chittagong Independent University, including designing of advertisement, insertion, receiving of the applications, maintaining confidentiality, etc.

Key Relationships:

  • Internal relationships: maintains relationships with other departments/schools/employees within the university and with colleagues within the department.
  • External relationships: maintains relationships (on behalf of the Chairman, Board of Trustees; Chairman, ESTCDT; and the Vice Chancellor) with various agencies/organizations/individuals in Bangladesh (including, but not limited to, universities, Association of Private Universities, etc.).

 
Education:

  • Required: Master's degree from a reputed university; CGPA of 3.5 or above (on a 4-point scale).
  • Desirable: MBA/Masters in any discipline with specialization in Human Resource Management with a CGPA of 3.0 or above (on a 4-point scale).

Experience:

  • Required: Minimum 10 years of work experience in different management positions (of which at least 6 years as Senior officer or equivalent).
  • Desirable: Progressive professional responsibility for management and administration of an executive office, and demonstrated advanced knowledge of the office management essentials and standards.
  • Experience and criteria may be relaxed in case of deserving candidates.

Special Knowledge and Skills:

  • Required: Understanding of organization-related issues; computer proficiency in Windows environment; excellent time-management, self-management, organizational; ability to complete multiple tasks and high volume of work; mature, professional attitude and appearance; openness to continuing learning and upgrading of skills. High level of English and Bangla language proficiency in reading, writing and speaking.
  • Desirable: Logistical skills for office administration and management (including, but not limited to, administrative writing skills, editing skills, reporting skills, supply management, scheduling, Microsoft Office skills).
