Purpose

The Warehouse Supervisor is responsible for timely and effective planning, as well as monitoring the receipt, storage, loading, and dispatch of goods and Assets/Inventory within IRC. Warehouse(s) and transit stores, in accordance with IRC Asset, Property, Inventory, and Pharma operational procedures and principles. The Warehouse Supervisor will also manage all IRC Internal and Donor Compliance. Additionally, this position will be tasked with sharing Asset and Inventory reporting with Internal and External collaborators.

Major Responsibilities
Warehouse Management:
  • Responsible for proper stocking of commodities and keeping of detailed and accurate stock records according to IRC warehouse Standard Procedures.
  • Responsible on-time loading/unloading of commodities and follow-up with other sites on all receipts of transit stocks.
  •  Informs SCM of any changes of the quality and quantity of commodities in stock by following stock disposal methods and reporting
  • Ensure the Pharmaceutical Inventory Tools (PIT)/ERP are updated in real-time, and report to SCC and Pharmacist if there are any abnormalities.
  • Ensure all the Warehouse requests through the ERP System (Picking Slip) have been distributed within 48 hours.
  • Ensure all the emergency lifesaving items are distributed within 24 hours.
  • Develop a Max-Min inventory system for commodities in collaboration with Supply Chain Coordinator and the Pharmacist to avoid sudden stock rupture.
  • Ensure pharmaceuticals, foods, and consumables are utilized before expiry dates and notify the Line Manager, SCC, program Manager and Pharmacist if the expiry date reaches the 6-month deadline.
  • Prepare inventory report on closing project remaining balance inventory and stocks one month before any project closure to ensure proper distribution/ donation or transfer.
  • Responsible for keeping stocks separated for each delivery/donor and ensure proper documentation/ records filing for audit trail.
  • Responsible for ensuring that physical stock matches the Bin Cards at all times; report immediately to SCC/ SCM if there are any abnormalities & prepare a draft corrective and preventive action plan.
  • Responsible for the daily, weekly and monthly good housekeeping of the warehouse
  • Timely and accurate reporting on stock movement to SCC and SCM
  • Applying correct stock control measures and report monthly stock report to Supply Chain Coordinator and Supply Chain Manager
  • Maintaining IRC warehouse documentation in an orderly and systematic filing system.
  • Planning future storage capacity and locations within the Warehouse in conjunction with the SCC and SCM
  • Maintaining a good relationship with the partner organizations and ensure all the donations are received and dispatched according to IRC warehouse standard procedures as well as report to finance for Commodity in Kind (CIK) entitlement
  • Maintaining standards on health and safety, hygiene and security in the Warehouse
  • Conduct duties in accordance with IRC Bangladesh program Standard Operating Procedures (SOPs) and IRC Supply Chain Code of Conduct
  • Compile different warehouse/ store report and send the compiled monthly report to SCC.
  • Manage own time and reporting staffs’ performance and provide any support guidance required for reporting staffs following IRC’s SOP and guidelines
  • Assist the Pharmacist in conducting the Pharma annual CAPA process.
  •  Ensure the Cold Chain are maintained in accordance with the IRC Pharma SOP’s
  • Ensure the Standard temperature has been maintained during the Vaccine and sensitive drugs are transported.
  • Ensure Quarterly Inventory Cycle Counting has been performed.
  • Ensure annual Inventory Counting has been conducted and reported according.
  • Ensure all the required documents, along with the GRN (Good received Notes) has been submitted to the Procurement department within 72 hours.
  • Ensure all the expired warehouse commodities disposal processes are initiated.

Asset Management:

  • Ensure all the Asset have been received in accordance with the IRC Standard Operating Procedure.
  •  Ensure the Asset register has been updated in the ERP System as well as the Excel database.
  • Ensure all Asset and Inventory are Tagged as per the IRC Standard Operating Procedure.
  • Ensure Annual Asset verification has been Performed and Reported according.
  • Ensure all the lost and damaged Asset are reported to the SCC and SCM by following the IRC standard timeline
  • Share the Closed Project Asset and Inventory report with the respective Grants Focal.
  • Provide guidance to the Asset Officer and ensure the IRC Asset and Inventory have been managed and aligned with as per the IRC Internal and Donor Compliance.
  • Ensure all damaged Asset and inventory are disposed.

People Management:

  • Manage the Warehouse and Asset Team in accordance with the IRC Standard People Management Procedure.
  • Develop a shadow to perform in the absence of the Senior Office warehouse.
  •  Provide motivation to the team to grow and develop their skill to contribute to the IRC Operations.
  • Value the team opinion for making decision.
  • Ensure yearly Performance GOAL has been developed and performed.
  • Ensure Team are enjoying leave.

Other Duties:

  • The duties listed are not exhaustive and may be varied from time to time as dictated by the changing needs of the Program.  The post holder will be expected to undertake other duties as appropriate and as requested by the manager. 
  • The post holder may be required to work at any of the locations at which the Operations of IRC is conducted
Requirements
  • Minimum 3 years of experience in Warehouse Logistics/Asset Management
  • Experience of working with UN Agencies or Non-Governmental organizations
  • Experience in Cold Chain Management.
  • Experience in Pharma Warehouse Management.
  • Understanding of the warehousing rules and regulations of major international donors including pharmaceutical warehousing
  • Experience in managing Cold Chain.
  • Advanced level skills in MS Office suite (MS Word, Excel, Outlook, PowerPoint).
  • Knowledge of Integra systems (Dynamics AX Platform) to accomplish day-to-day activities would be an asset.
  • Excellent interpersonal and English communication skills to work in a multicultural setting
  • Experience of managing oversight of Warehouse and Asset Management.
  • Ability to resolve problem by working with internal and external stakeholders in a participatory approach
  • Ability to manage multiple priorities simultaneously and complete tasks in a high-pressure work environment
  • Highly adaptive to work in constant change environment independently where revision to projects and planning is common phenomenon
  • Highly comfortable to work in a most diverse feminist work culture.
  • Comfortable to working in a team environment to achieve shared goal and passions for humanitarian work
  • Excellent interpersonal and team skills.
  • Strong communication skills in both: Bengali & English.
   
Specific Educational Qualification
  • Master’s/ Graduate degree in Business Administration/ Logistics/ Supply Chain/Pharmaceutical
