The International Federation of Red Cross and Red Crescent Societies (The Federation) is the world’s largest humanitarian organization. The Federation has been working with the Bangladesh Red Crescent Society for more than 30 years in humanitarian fields mainly disaster response and management, cyclone preparedness, disaster relief and recovery, community-based disaster preparedness, risk reduction, and mitigation, etc. The British Red Cross (BRC) works under the auspices of the Federation in Bangladesh in close cooperation with the BDRCS.

BRC is one of the longest-term partners of BDRCS, having been in-country supporting bilateral programs since 2006 in the areas of early recovery and integrated resilience programming. BRC is also a major contributor to multi-lateral response mechanisms in the country. Our team is composed of Delegates and national staff working closely with BDRCS to deliver programs in Dhaka, Barisal and Teknaf.

This position will be part of the BRC Bangladesh team, and we are seeking an enthusiastic, self-motivated, knowledgeable individual with sound practical judgment.

Duties and Responsibilities

Driving and Vehicle Management

  • Drive staff and visitors for regular office functions, project visits in the programme areas as required and fill in the log books daily and prepare trip summary report.
  • Undertake care and maintenance of the organization’s vehicles. Immediately report any repair needs for office vehicles
  • Keep the vehicles that you drive clean, properly maintained and fuelled at the designated service stations
  • Prepare vehicle monthly fuel consumption analysis report and forward to Finance for payment processing.
  • Develop and maintain a regular schedule for all vehicles’ servicing, road licences and insurance renewals. Share this schedule/report (including vehicle fuel consumption reports) on monthly basis to the Sr. Officer, HR, Admin and Logistics/
  •  Ensure that all accidents and incidents are documented and the report shared

Administration

  • Undertake administrative tasks and duties including running errands including dispatch of payments/cheques to various vendors, mail collection, delivery & distribution of letters
  •  Dealing with bank (Collecting bank statement, Cheque book collect, withdraw/deposit of cash etc.)
  • Deposit of Tax & VAT challan into bank and distribute the challan     among various parties.
  • Assist Office Admin in ensuring that all materials/goods ordered are received as per order and stored immediately after delivery;
  • Ensure all office equipment such as Air Conditions, Water Dispensers, Photocopier, Printers, telephones etc. are in good operational state. Liaise with Admin staff in arranging office maintenance and repairs.
  • Reports immediately any problems regarding the functionality of office equipment taking place and/or any damages observed. •
  • Ensure availability at all times of electricity, gas and water for office use and business continuity.
  • Carry out any other tasks as directed by the Supervisor/Line Manager.

Duties Applicable to All Staff

  • Abide by and work in accordance with the Red Cross/Red Crescent Principles.
  • Perform any other work-related duties and responsibilities that may be assigned by line manager and Country Manager.

Person Specification

Education Essential Desirable
  • A high school level certificate;
 
Experience
  • A minimum of 5 years of relevant experience in driving vehicles (e.g., jeeps and cars) in other organizations;
  • Experience in carrying out various administrative tasks;
  • A good track record of safely driving vehicles and experience in general office administration duties such as, banking, etc.
 
 Skills
  • A thorough understanding of international organization rules and regulations for safe driving.
  • Excellent driving skills;
  • Good record-keeping and reporting skills;
  • Good communication skills in English (verbal and written), and the ability to communicate effectively with counterparts
  • Computer skills that include the use of MS Office packages.
  • Basic mechanical/handyman skills;
  • The willingness to drive outside of Dhaka;
  • The flexibility to work extra hours when required, and be honest and reliable.
  • A client-oriented approach, high sense of responsibility, courtesy, tact, and the ability to work with people from different nationalities and backgrounds; and
  • Provide support to the office administrative functions which include undertaking messenger tasks, clerical duties, banking duties, office upkeep/maintenance, and purchase of small supplies for office. Support in hauling supplies/materials for programs and office operations;
