GENERAL CONTEXT AND BACKGROUND:

HEKS/EPER is a swiss INGO founded in 1946. HEKS/EPER is supporting local partner organizations with around 200 projects in 34 key countries worldwide. HEKS/EPER Bangladesh Office cooperates with NGO active in the field of development cooperation and humanitarian aid. In Bangladesh our support is targeted at social, ethnic and religious minorities, especially plain land Adibashi and Dalit communities in the Northwest part of the country. At the same time, we provide emergency relief and aid under the supervision of HEKS/EPER Humanitarian Aid Department.

Rohingya fled their homes in Myanmar August 2017, where huge refugee camps have formed. Since September 2017, HEKS/EPER has supported Humanitarian Aid interventions in the refugee camp. HEKS/EPER is expanding these interventions and is searching for competent staff to implement activities.

MAIN RESPONSIBILITIES AND TASKS:

Administrative and Logistics Support
  • Assist the Administration and Finance Officer in day-to day accounting functions
  • Provides administrative assistance to the mission team. This also includes organising logistics for missions, travel arrangement, meetings, conferences and other special events;
  • Prepare and complete orders for delivery or pickup according to schedule (load, pack, wrap, label, ship, deliver)
  • Receive and process warehouse stock products (pick, unload, label, store)
  • Perform inventory controls and keep quality standards high for audits
  • Collect and send invoices to appropriate department
  • Keep a clean and safe working environment and optimise space utilisation
  • Follow quality service standards and comply with procedures, rules and regulations
  • Coordinating travel of company personnel; booking flights, hotels, etc. – when required
  • Obtain RFQ’s and submit to proper department
  • Responsible for organization of property maintenance requirements
  • Assist line manager to ensures timely payment of all utilities and other bills.
  • Ensure timely opening and closing of the office premises
  • Ensure regular banking and external transactions properly
  • Maintains appropriate filing of logistics documents
Safety and Security
  • Provide timely incident report to AFO as needed
  • Maintain confidentiality of organizational information and documents strictly and sincerely

REQUIRED PROFILE AND EXPERIENCE:

Education and professional experience
  • Bachelor’s degree with 2 years’ experience or HSC with 4 years relevant job experience
  • Working experience in a similar function is must

Professional requirements

  • Good knowledge of procurement systems
  • Basic computer skill

Language

  • Basic English skills (written, spoken and reading)
