The Deutsche Gesellschaft für Internationale Zusammenarbeit (GIZ) GmbH is a federal enterprise with worldwide operations. GIZ Bangladesh is currently seeking applications for the position of “Administrative Assistant” from candidates under "Socio-economic Support to Host and Displaced Communities in Cox’s Bazar District (SHADE) Project. This project addresses the complex and ongoing humanitarian crisis in Cox's Bazar district, where nearly one million Rohingya refugees live alongside local Bangladeshi communities. In response, the project aims to improve the livelihoods of both host communities and displaced Rohingya and promote peaceful living conditions. It does so by implementing gender-responsive and inclusive approaches, providing skill development and income opportunities, collaborating with NGOs, and raising awareness to foster mutual understanding and peaceful coexistence among all stakeholders.

A. Responsibilities
- Support the implementation of project activities, including organizing meetings, workshops, and field visits.
- Assist with administrative and logistical tasks such as documentation, scheduling, and procurement.
- Draft and translate project-related documents; maintain proper filing systems and records.
- Coordinate with partners, service providers, and team members to ensure smooth project operations.
B. The position holder is responsible for the following tasks:
Tasks
- Organize and coordinate all administrative and logistic arrangements for the project in the Cox’s Bazar office (meetings, seminars, trainings, workshops etc.)
- Support the organization of training and field visits in collaboration with the project team by preparing invitation letters, putting in the requests for venue bookings.
- Support day-to-day administrative operations, including scheduling, correspondence, and inventory management
- Maintain organized filing systems (digital and physical) in line with GIZ standards and data protection guidelines.
- Vehicle management such as movement register, calculation of monthly fuel consumption, supervision of repair and maintenance.
- Assist in procurement processes, including collecting quotations and coordinating with service providers.
- Support basic financial tasks such as checking invoices, keeping financial records.
C. Required qualifications, competencies and experience
Academic qualifications
- Bachelor's degree in Social Sciences, Development Studies, Public Administration, Business Administration, or a closely related field.
Professional experience
- 1-2 years of relevant experience in project support, administrative tasks, or coordination roles.
- Experience in planning and executing events, workshops, and travel arrangements.
- Prior experience in international development, NGO, or donor-funded projects highly valued.
Other knowledge, additional competences
- Proficiency in Microsoft Office Suite, hands-on experience with digital data systems, and familiarity with various communication tools and modern IT systems.
- Adept at managing multiple tasks under tight deadlines with excellent time management.
- Flexible and adaptable to changing priorities in a dynamic work environment.
- Excellent written and verbal communication skills in both Bengali and English.
- Adept at both independent work and collaborative team efforts within diverse cultural settings.
