GIZ Bangladesh is currently seeking applications for the position of “Office Support Staff” from candidates under Climate Cluster’s regional office in Sirajganj. The Office Support Staff will work under the general and overall supervision and guidance of the Head of Contract and Procurement, Climate Cluster of GIZ Bangladesh. In order to fulfil his/her tasks, s/he will work closely with Administrative Specialist (Task Supervisor).

A. Responsabilités
- Cleanliness and orderliness of the programme and its respective office premises during office hours.
- Responsible for maintenance and smooth functioning of the office hosting (Kitchen).
- Support in office events, workshops, and meetings.
- Running of official errands and assisting with other office services.
- Liaising with clients in a service-oriented manner on behalf of the office by providing a professional phone service, personally welcoming visitors and maintaining a high standard in the reception area.
- Performing reception and secretariat services (when required).
- Notify the manager promptly when office materials need to be restocked, repair work needs to be carried out, or there are any other irregularities.
B. The position holder is responsible for the following tasks
Tasks
Office Administration & Support
- Welcome external visitors and maintain visitor logbook.
- Perform reception and secretariat services (when required).
- Maintain security vigilance at the office premises as per security guidelines.
- Maintain office opening and closing as per SOP.
- Perform regular office premises checks as assigned by the line manager for office safety and security.
- Provide support for small-scale administrative and organizational tasks such as scanning, photocopying, and filing.
- Run errands and provide messenger services.
- Maintain documents and receive and dispatch relevant parcels and letters.
Facilities and Logistics Management/ Coordination
- Organize and maintain office furniture and materials.
- Ensure that office space is kept clean and orderly.
- Maintain office equipment and ensure its functionality.
- Oversee and monitor performances of outsourced cleaners and report to the line manager.
- Carry out maintenance tasks or monitor implementation of maintenance work.
- Distribute office materials and manage inventory levels.
- Monitor and organize the purchase of day-to-day office materials and maintain records as required.
- Do small-scale procurements as assigned.
Basic IT & Telecommunications Support
- Provide low-level IT support (IP phone setup, docking setup, workstation setup for laptop and monitor usage, cable setup, etc.).
Event & Refreshment Services
- Carry out serving refreshments (generally and in office meetings).
- Support in event management during in-house and external events.
- Provide logistical services for workshops and training courses within and outside the office premises.
- Support in arranging catering services in events.
Other Duties
- Where appropriate and reasonable, the position holder is willing to perform tasks outside the scope of the job description.
C. Required qualifications, competencies and experience
Academic qualifications
- Minimum higher secondary education is required, or a vocational qualification demonstrating equivalent skills. A further degree or diploma will be considered a plus.
- Candidates should possess 3-5 years of professional experience in a comparable position.
Other knowledge, additional competences

- Team players and can work under pressure.
- Willingness to work with diversified teams and genders.
- Appropriate appearance and attire (i.e. possible uniform, friendly manner with all passengers etc.)
