For the team of our “GIZ Office Dhaka”, we seek applications for the position “Administrative Specialist” for the office of Country Director & Head of Finance and Administration.

A. Responsibilities
The position holder is responsible for:
- Managing an area of responsibility that forms part of the country office objectives, office team agreements and/or agreements with the superior
- Assisting country office initiatives to provide professional advisory services to and cooperate with a broad range of target groups/stakeholders
- Advising supervisor on all tasks when implementing GIZ rules and regulation
- Advising supervisor in the field of county office planning, steering and monitoring
- Independently implement goals and requirements set by the supervisor
- Make decisions which have a short-term effect within a limited project area/ unit
- Assisting supervisor to identify day to day problem and suggest appropriate solution
In this context, the position holder fulfils the following tasks:
B. Tasks
1. Core scope of tasks
Office Administration and coordination
- Supports the Country Management (CD and LFA) in all aspects of their specific duties
- Organises events, meetings and conferences on behalf of the country management
- Coordinates meetings and conferences organized by the Country Office, overseeing planning, scheduling, and execution. Responsibilities include coordinating logistics, drafting agendas, communicating with participants, and tracking action items
- Prepares independently necessary documents (including presentations) for meetings on country office level and maintains the necessary documentation
- Participates in meetings on country level and prepares minutes
- Coordinates the arrangements for specific missions/visits related to the Country Office
- Is responsible for the general communication/ coordination with HQ South Asia regional division
- Conducts internal archive and coordinates the country wide inventory in close cooperation with Finance Officer(s)
- Coordinates/ follows up autonomously with Unit Mangers for necessary task related to LFA and CD office
- Partaking in security and safety related tasks
- Undertakes the role of First Aid Warden for GIZ Office
2. Other Duties/Additional Tasks
- Keeps information confidential particularly in the field of personnel and finances
- Assists in and/or carries out other activities and tasks, as assigned
C. Required qualifications, competences and experience
Formal Education
- Bachelor’s in business administration (BBA) or a relevant field
Professional Experience
- 3 years of professional working experience in a similar position
- Experience in marketing/customer relation will be an added advantage
Competency/other qualifications
- Good interpersonal and communication skills
- Diplomatic attitude towards all stakeholders
- Loyalty and discretion
- Keen sense for confidentiality
- Ability to work in an intercultural environment
- Ability to work well under pressure and must be a strong team player
- Fluency in both English and Bangla is essential
- Knowledge of German Language is an asset
- Excellent working knowledge of computer programs (e.g. MS Office, Ms Teams etc.)
