GIZ has been working as a development partner of Bangladesh since 1972 under bilateral agreement. Currently, we are working in the areas of renewable energy, adaptation to climate change, textile and leather sector, biodiversity, as well as good governance, displacement, and migration. 
For the team of our “Textile Cluster”, we seek applications for the position “Receptionist” (for Level 12 of Textile Cluster Office).

Contract Duration: One (1) Year with possibility of extension.

A. Responsibilities

The position holder is responsible for the below tasks:

  • Performed assigned tasks promptly and in line with correct administrative procedure.
  • Respond to queries received by phone and document visitor data correctly using the available office technology.
  • Prepare and share documentation.

In this context, the position holder fulfils the following tasks:

B. Tasks (Specific for Job Role)

  • Carry out reception duties (welcoming visitors including monitoring security cameras at reception, answering and transferring phone calls, receipt and dispatch of correspondence)
  • Register all incoming materials, vouchers/invoices/travel expenses statements/boarding passes, etc. and distribute them to the responsible division within the cluster office for further processing, where necessary register incoming bids/tenders.
  • Register all outgoing materials and documents and ensure correct dispatch.
  • Manage daily head count sheet for the textile cluster level 12.
  • Provide IT support (level 1 complexity) to Level 12 colleagues and escalate to IT helpdesk if cannot be solved. Report IT issues to Level 8 IT focal and line manager
  • Provide logistics support to Level 12 Textile cluster colleagues as and when required
  • Support in proximity card access system and periodically check if elevator access systems are functioning properly
  • Guide meeting visitors with directions (washroom, meeting room numbers etc.) and notify relevant colleagues
  • Perform critical SFP functions during emergency situations and act as deputy security focal for Level-12 textile cluster colleagues
  • Perform regular low-threshold checks as assigned and briefed by line manager to assist the office safety checklist.
  • When assigned, perform fire warden duties and duties during distress alarm situation, which includes ensuring necessary protocols take place during fire evacuation and safe room lockdown.
  • Regularly check the stock room for identifying low stock items with the help of logistic staff and place requisition.
  • Manage, book and administer meeting rooms, including the provision of office materials for events
  • Support logistics unit for event support preparation and perform logistic duties as and when assigned
  • Perform Covid safety office protocols as and when assigned
  • Liaison with level 08 textile cluster reception for head count and logistics support
  • Identify, report and arrange building maintenance tasks with approval and call necessary vendors to schedule maintenance
  • Report any discrepancies found directly to line manager
  • Be willing to perform tasks outside the scope of the job description when appropriate and reasonable.

C. Required qualifications, competences and experience

Qualifications

  • Higher Secondary Certificate (HSC) or equivalent

       Professional experience

  • Two (2) years experience in managing reception and reception duties.

      Other knowledge, additional competences

  • Sincere and diligent
  • Ability to work with multiple departments and coordinate.
  • Excellent in multitasking and setting priorities according to task importance.
  • Punctual, team oriented and problem solver
  • Familiar with Microsoft office 365 suit and can use outlook and teams in daily work.
  • Ability to troubleshoot small IT issues and or open tickets in IT helpdesk is an added asset.
