Purpose

This position exists to enhance the operational efficiency of the office by delivering timely and professional administrative support. The Office Assistant plays a vital role in managing day-to-day tasks and ensuring that office resources are well-organized, accessible, and effectively maintained.

Engagement

  • Keep the office space tidy, clean, and well-organized to create a comfortable working environment
  • Ensure common areas like meeting rooms, pantry, and reception are regularly maintained and support logistics for meetings, workshops
  • Monitor and maintain inventory of office supplies, restock as needed and receive, store, and distribute stationery and other office materials.
  • Report any office maintenance issues (e.g., plumbing, electricity, cleanliness) to the appropriate personnel and Support implementation of health, safety, and cleanliness standards in the office.
Delivery
  • As an Office Assistant, his/her contribution will help create a supportive and well-functioning office environment.
  • S/he will play a vital part in keeping the administrative things running smoothly and helping the team stay focused on their work.

Administrative and Logistics Support

  • Monitor office supplies (e.g., stationery, hygiene items, refreshments) and coordinate with the admin team to restock when necessary.
  • Assist with photocopying, scanning, printing, and organizing documents for program, finance, and admin teams.
  • Maintain simple documentation such as delivery logs, office supply records, and inventory checklists.
  • Receive and distribute incoming letters, parcels, and courier deliveries to the appropriate staff.
  • Support with minor procurement tasks such as collecting quotations or delivering small items to vendors or partner offices.
  • Assist in organizing logistics for events, trainings, workshops etc.
  • Provide administrative support for banking transactions.

Office Maintenance and Hospitality

  • Ensure that the office environment including workstations, meeting rooms, pantry, and restrooms remain clean, organized, and welcoming.
  • Report any facility-related issues (e.g., electricity, plumbing, furniture repairs) to the admin focal point for prompt resolution.
  • Greet and assist visitors, ensuring they feel welcome and are guided to the right person or meeting room.
  • Support hospitality arrangements such as serving tea, water, or refreshments during meetings or events.
  • Maintain a professional and helpful demeanor when dealing with guests, partner staff, and vendors.
  • Help set up meeting or training rooms, including arranging chairs, projectors, and materials.

Education

Minimum H.S.C

Language

Position requires language skills in both English and Bangla at a basic level

Salary and Benefits

Monthly Gross Salary:
   
BDT 22,421 /- (Twenty-Two Thousand Four Hundred and Twenty-One) only.
Other Benefits:
