We are also the market leader in Bangladesh and are looking for a young and energetic Welfare and Admin Executive. The job will be based at Chittagong, Bangladesh. 

The purpose of the job is to support plant HR for delivering effective service to the employees to ensure positive and productive environment throughout the plant. 

The role will be primarily accountable for the followings:

Handling All Welfare Related Works:

  • Assist ERM Preparing event calendar for the year, Monitor and ensure all welfare & related activities are organized on time.
  • Supervise quality canteen catering Service in the plant by providing a simple and common food menu maintaining the health and hygiene. Coordinate with all canteen committee members and organize the monthly meeting in factory circulate minutes and assuring logical action taken of all the decision made in committee meeting in consultation with ERM.
  • Assist ERM to develop a roster for different groups canteen timing in liaison with manufacturing team for every rotational shift to ensure proper and quality service in due time.
  • Develop and train the canteen staff to ensure cleanliness, health, hygiene and working hour compliance of canteen staff. Ensure safe working practices inside the factory premises by providing the EHS guided instruments /equipment’s.
  • Lead the welfare team to provide quality services in Ramadan month’s Iftar and Sehri food services by the canteen staff within the budgetary control and managing the prayer timing properly in factory premises
  • Assist ERM to arrange, organize and supervise the various recreational functions on approval
  • Ensures that refreshments on special occasions are arranged through caterers.

Effective Management of Employee Welfare programs, Uniform/Shoe distribution, Medical dispensary and Ambulance services,

  • Plan and control effective management of Uniform, Shoes and umbrella and sourcing alternate vendor to control the budget as per plan.
  • Coordinate with plant medical team to ensure proper medical dispensary and ambulance management with proper equipment as per labour law. Develop the medical team to deal any emergency patient came from inside factory in absence of physician.
  • Supervise and advise plant Admin & Welfare team to ensure the welfare activities like In-patient hospitalization and ambulance service in a controlled manner so that yearly expenses will go in a declined trend compared to previous years.
  • Assist ERM to coordinate May Day Celebration, Health camp and blood donation program through proper vendor or service provider.
  • Assure the required services in plant level and maintain proper record of first aid and medical services provided in medical room as per law. Start and continue regular health awareness program in factory level on different topic.
  • Plan and preparation of revenue budget considering the whole year Staff welfare and engagement program and guide all the stakeholders for effective management
  • Manage continuous improvement initiatives cross functionally aimed at maximizing the potential for saving cost within the business whilst ensuring that Coats ‘’best practice’’ in the place.

Housekeeping Management

  • Ensure Scheduling & organizing the housekeeping activities considering all specific areas.
  • Ensure Physical Fitness of the cleaner, Rationalizing the number of Cleaner, Modernization of Cleaning equipment, Proper usage of Soap, detergent and other housekeeping materials,
  • Regular Training of Cleaner, Ensure Health & Safety maintenance and ensure regular Pest Control services by selecting proper vendor.
  • Assurance timely disbursement of salary all the cleaners as per labour law.
  • Regular briefing session and checklist supervision of housekeeping management team to ensure the service and awareness.

Other Administrative Works

  • Maintain Prayer room, Change room, medical room related all hygiene & service related issues.
  • Ensures that efficient postal services are provided to the office through direct reports
  • Maintain office furniture, equipment in good condition.
  • Monitor all gardening related works. Plantation to be done through plant providers.
  • Maintain liaison with Govt Offices.
  • Update all factory licenses as and when required.
  • Coordinate with local vendors for any function or program.
  • Keep liaison and good relationship with contractors.
  • Maintain JM’s personal File.
  • Recording JM’s all Leave Transection.
  • Daily visit the factory premises (inside & outside as per check list) Look for any discrepancy.

Handling PR related issues:

  • Handle all HR related purchase & requisition issues. Monitor and ensure the all the services as per agreements with 3P.
  • Make incidental purchases on approval from the line manager .

Monitor, control and administer Plant Travel, Food & Accommodation-

  • Assist Employee relations Manager to Develop SOP for Travel & Accommodation of Visitor and Guest Flat & Hotel Accommodation and Control
  • Lead Local Admin team to control and administer the Transport Management for Visitors & guest, their Safety, Security,
  • Ensure proper House Keeping, Laundry services, Food Quality, Cost and Control in guest house at Dhaka and Chittagong.
  • Supervise reporting Weekly update on Cost & visitor’s entertainment Activities in the plant,

External Stakeholders: 
Contact Water/Power Supply/Gas/T&T and mobile telephone authority.

Qualifications:

  • Graduate preferably BBA or MBA from reputed business institution.
  • 2 to 3 years inline experience.
  • Can think / operate strategically.
  • Strong team player with a can-do attitude.
  • Can make things happen
  • Strong interpersonal/ communication skills.
