CIMMYT-Bangladesh seeks qualified suppliers to provide their best price quote for the items listed below:

  • Quotations must be submitted on company letterhead and signed by an authorized individual.
  • Refer to the Terms and Conditions below when preparing your quote.
  • Acknowledge receipt of this request by signing the vendor conflict of interest certification and indicate your intention to quote.
  • No telephone inquiries will be accepted. All questions regarding this RFQ must be submitted in writing before the deadline. Material questions and answers may be shared with all offerors by CIMMYT-Bangladesh.

Quote Validity Requirements

Vendor Eligibility Requirements

This RFQ is open to commercial and non-governmental businesses registered in Bangladesh, capable of providing and delivering the products, and with a solid record of integrity and business ethics.

Note: CIMMYT-Bangladesh will not award a contract to any firm that is debarred, suspended, or proposed for debarment, or to firms or principals involved with debarred entities in the performance of this activity
Contractual Mechanism
and Payment Terms:

Issuance: CIMMYT-Bangladesh will issue a contract to the selected vendor.
Payment Terms: Payment will be made within 30 days of acceptance of the goods or services and receipt of the invoice.
Late Delivery Penalty: A 1% deduction from the total price will be applied for each day of delivery delay.
Payment Recipient: Payment will be made only to the vendor identified in the Contract. Payments will not be made to third parties or individuals

Quote must include the following:

Quote Details:

  • Quote shall be marked with “RFQ – Lenovo ThinkPad;
  • Detailed description of the quoted items;
  • Information on delivery cost, method, date;
  • Detailed information on any insurance and/or warranties offered by the vendor;

 

 
  • Quotation should be in BDT, inclusive of all taxes, excise, and duties. VAT must be shown separately.

Company Details:

  • Please provide a copy of the valid company trade license, tax certificate (VAT registration, updated tax return)
  • Also provide the Authorized personnel’s official ID and Power of Attorney
  • The authorized personnel should be “Assistant Manager” or higher than “Assistant Manager” at the company
  • If the Owner/MD of the company sends the RFQ than you do not need to provide Power of Attorney.
Evaluation Criteria: Quotes will be evaluated based on specifications, vendor qualifications and experience, price, after-sales service, delivery time, and related criteria.

Submission of Quotes

Submission Deadline: The quote must be submitted to CIMMYT-Bangladesh no later than 07 September 2024 and 5:00 PM.
Submission Method: Quotes can be submitted electronically: Sign, stamp, scan, and send the quote along with other legal documents mentioned above as a PDF attachment to  A.SIKDER@CGIAR.ORG & SHAHIDA@CGIAR.ORG.
Duration of Quote: All quotes submitted must remain valid for 40 days from the Submission Deadline. This includes cost, pricing, terms and conditions, service levels, and all other information. If your company is selected, the information in the RFQ and negotiation process is contractually binding and may be accepted by CIMMYT-Bangladesh without further negotiation.

Terms and Conditions

  • Issuing this RFQ does not commit CIMMYT-Bangladesh to awarding a contract or covering bid preparation costs.
  • Attachments to this RFQ are integral to all requirements.
  • CIMMYT-Bangladesh may contact bidders to confirm details and ensure the bid was submitted for this solicitation.
  • Bidders must provide accurate and complete information; false statements may lead to disqualification.
  • Bidders must disclose any relationships with parties involved in this solicitation; failure to do so may require re-evaluation.
  • CIMMYT-Bangladesh reserves the right to select, negotiate, or reject bids at its discretion.
  • CIMMYT-Bangladesh reserves the right to disqualify, waive deviations, extend deadlines, modify or terminate the process, and award based on initial evaluations or issue multiple/partial awards. To disqualify any offer based on Bidder’s failure to follow solicitation instructions:
      • To waive any deviations by Bidder from the requirements of this solicitation that in CIMMYT-Bangladesh opinion are considered not to be material defects requiring rejection or disqualification; or where such a waiver will promote increased competition.
      • To extend the time for submission of all RFQ responses.
      • To terminate or modify the RFQ process at any time and re-issue the RFQ.
      • To issue an award based on the initial evaluation of offers without discussion.
      • To award partial goods/activities; and/or issue multiple awards.

Vendor Conflict of Interest (COI) Certification & Confirmation of Intent to Bid

CIMMYT-Bangladesh’s Code of Conduct and Ethics Policy requires full disclosure in procurement processes. Employees must avoid conflicts of interest (COIs) and disclose any relationships with vendors. Vendors must either disclose any COIs or confirm that no CIMMYT-Bangladesh employee, or their associates, has any direct or indirect financial interest in the vendor's organization. A false statement or failure to verify information may render the vendor non-responsive. Vendors are encouraged to disclose any connections that might create an appearance of a conflict of interest.
