Scope of the Role:
The Administrative Support Officer-P&C will work in close coordination with the Officer–P&C, Head of Office, and other colleagues to support People and Culture (P&C) functions. The role is designed to provide comprehensive administrative and logistical support to the day-to-day operations of the P&C Department, as well as secretarial assistance to the Head of Office. The ASO will be responsible for assisting in all P&C functions and providing regular and ad-hoc secretarial support to the Head of Office, as required.
This position will be based in Cox's Bazar Regional Office, with travel required to fields. |

Responsibility # 1: Recruitment and Selection Processes: |

- Perform all tasks related to volunteer recruitment, including communication, documentation, and coordination with relevant stakeholders.
- Assist in preparing recruitment materials, scheduling interviews, and maintaining volunteer records.
- Assist in sending interview invitations/letters to shortlisted candidates, along with the job description and preliminary job application form.
- Contact shortlisted candidates by phone to confirm their availability and provide necessary follow-up.
- Help organize interviews (written tests and viva voce) and provide logistical support for smooth execution.
- Act as an invigilator during written tests, as required.

Responsibility # 2: Organizing HR Documents: |

- Assist the designated Officer-P&C in preparing and updating employees’ personnel confidential files (PCF) for assigned projects/departments.
- Assist the Officer-P&C in preparing and maintaining recruitment files.
- Collect required signatures from Hiring Managers and Interview Board Members on recruitment memos, and ensure proper filing in an organized manner.
- Provide logistical support to HR team members, including photocopying, scanning, spiral binding, and related tasks.
- Support the Officer-P&C in organizing and archiving personnel confidential files (PCF) as required.

Responsibility # 3: Support to HRIS and Relevant Logistics: |

- Assist departmental staff in drafting HR-related documents as requested.
- File HRIS and compensation-related documents, including VAT/TAX papers, TIN certificates, increment letters, etc.
- Regularly upload and maintain electronic HR records in the online HRIS database.

Responsibility # 4: Support to Various Staff Development Activities: |

- Assist the HR Officer in arranging trainings, workshops, and related activities.
- Communicate with workshop participants, resource persons, and other stakeholders regarding internships and training programs.
- Collect and compile necessary documents to process monthly payments of interns and short-term contract staff.

V. Qualification: |
- Minimum Bachelor’s degree in Business Administration, Management, Human Resources, or a related field. Professional certifications (e.g., PGD in HR) will be considered an advantage.
- Minimum of 2 years of relevant work experience.
- Working knowledge of Bangladesh Labor Laws is preferred.
- Excellent communication skills in both English and Bangla.
- Proficient in Microsoft Office applications, including Word, Excel, and PowerPoint.
- Demonstrated ability to multi-task, prioritize work effectively, and manage processes with accuracy and efficiency.
- Strong attention to detail and accuracy in documentation and record-keeping.
- Excellent interpersonal and communication skills, with the ability to work collaboratively in a team environment.
- High level of integrity, reliability, and ability to maintain confidentiality.

Compensation
Monthly consolidated salary: 66,092.00 BDT (Negotiable)
