Teaching Centre Operations Assistant

Role Purpose:

The Teaching Centre Operations Executive is responsible for a range of operational activities relating to back-office systems, resources, inventory, event management, facilities, and health & safety compliance. The post holder is also responsible for these activities at the Teaching Centre’s branches in Uttara and Gulshan.

Main Accountabilities:

Back-office systems and facilities

  • Working with the TC operation team to ensure the smooth running of Teaching regular operation across 3 centres
  • Maintaining office documents, storage & proper tagging of all the official documents
  • Establishing, acting upon and maintaining the facilities incident record for Teaching Centre premises, liaising with Business Support Team and respective vendors to carry out remedial works
  • Regular checking of the kept items in the classrooms to proactively discover any service difficulties, updating the incident log, reporting to Business Support Services team to ensure proper maintenance
  • Reporting non-compliance to the Academic Manager and the TC Ops Manager

Resources and general operations

  • Being present on the ground or being available over the phone to provide the required support to manage day to day operational challenges
  • Supporting the TC Operation team by managing auctions of Teaching Centre equipment as and when required
  • Ensuring the distribution of registration packs and student ID cards in the classroom with proper inventory
  • Taking care of Purchase process from placing order to doing GR is SAP system
  • Assisting the Ops Manager in making sure we have enough registration pack supplies
  • Helping to procure supplies as required from time to time by the Registrar
  • Ensuring all the scheduled classes are held on time and that Teaching facilities meet customer expectations
  • Working with Business Support Services team to ensure key management for the classrooms in Fuller Road
  • Working with the Ops Manager to print and distribute certificates
  • Ensuring that all undelivered student certificates kept in the TC vault
  • Ensuring that all the returned student ID cards are stored
  • When required, making follow-up calls on reported student absences,
  • Assisting the Ops Manager with room bookings for classes, events and workshops
  • Ensuring that the ICT equipment and course-related materials is being signed out and signed in by teachers as per the IT policy in place

Inventory

  • Establishing and maintaining a comprehensive inventory record of supplies and equipment for all Teaching Centre premises
  • Maintaining the record for returned student ID cards and undelivered certificates
  • Supporting the TC Operation team to control the movement of Teaching Centre inventory items
  • Manage Teaching Centre storerooms and storage areas, which includes the storage and safe keeping of all Teaching Centre properties and the tidying up and re-stocking of all storage areas
  • Receiving supplies from vendors and storing in the designated places with proper inventory control

Customer Relationship Management (CRM)

  • Follow up with the students / parents in terms of Low Call Fill situation for transferring students / cancel the classes & informing students
  • SMS portal administrative task
  • Give feedback to Customer / Call Centre query as a team member of TC Ops team

Other important features or requirements of the job

  • The post holder will understand and make decisions which are affected by Equality, Diversity & Inclusion (EDI) legislation and policy. Additionally, s/he will exploit opportunities brought by diversity and build them into all planning.
  • The post holder will understand the importance of child protection and ensure polices and processes are in place to offer maximum protection of young people at all relevant events and venues and ensure compliance with BC Child Protection policies.
  • The post holder might not be able to take day off on Friday and Saturday and has to be available over the phone to support the operation.
  • Occasionally some manual lifting and handling is expected, which may include moving operational materials.
  • At peak times and to meet corporate deadlines the role occasionally requires extra hours or weekend working, recoverable as TOIL (Time off in lieu).

Qualifications

Minimum / Essential
Graduate in any discipline.

Role specific knowledge and experience

Essential
Experience of working in an entry-level operational role / sales support role

Role Specific Skills

  • Intermediate level user of Microsoft Excel, Microsoft word, Microsoft Power Point
