  Position  

Senior Manager, Warehouse, HCMP

Purpose:

This position is responsible for ensuring the efficient management of inventory and resources while maintaining safety and compliance in all operations of warehouse. It provides strategic leadership to optimize warehouse functions, streamline supply chains, and support organisational needs. Additionally, this role facilitates coordination with cross-functional teams to align warehouse operations with broader programmatic objectives and ensure seamless service delivery.

Job Responsibilities:

  • Develop and implement long-term, sustainable strategies for warehouse optimization, focusing on improving operational efficiency, resource utilization, and cost-effectiveness, in aligning with and supporting broader organizational goals.
  • Lead and guide the HCMP warehouse team, overseeing all aspects of warehouse operations by ensuring safety protocols, compliance with programme objectives and donor requirements.
  • Develop, maintain, and implement an efficient inventory management system that ensures the accurate issuance, organized storage, and thorough record-keeping of goods, in strict adherence to organizational policies, procedures, and best practices.
  • Analyse operational requirements to identify areas for warehouse improvements, and develop and implement capacity planning strategies that enhance warehouse efficiency, scalability, and responsiveness to meet evolving programme needs.
  • Prepare, monitor and ensure optimum resource utilization and identify cost-saving opportunities while upholding service quality.
  • Responsible for ensuring smooth and efficient warehouse operations by overseeing the safe receipt, storage, retrieval, and timely dispatch of goods in compliance with programmatic requirements and donor regulations.
  • Conduct periodic inventory audits of warehouse operations, systems, and documents to monitor performance and implement qualitative improvements within the warehouse team.
  • Maintain effective communication with multiple stakeholders, including Procurement, Finance, Audit, MEAL, Branch Operations, and HR to align with organizational objectives.
  • Establish and maintain effective communication with the donors, serving as the primary point of contact to ensure smooth and efficient warehouse operations.
  • Regularly monitor the supply chain for all materials, identifying opportunities and providing guidelines for improvement.
  • Develop and implement risk management strategies to address potential disruptions in warehouse operations and ensure the safety and security of warehouse inventory, systems, and structures.
  • Ensure seamless coordination of inventory systems to maintain accuracy and accountability.
  • Responsible for the timely submission of accurate reports on warehouse operations and recommend improvement to the management team
  • Oversee and guide the implementation of warehouse transaction protocols for inward/outward materials, adhering to the warehouse guidelines.
  • Establish and enforce quality control standards for inventory management and storage.
  • Coordinate contingency plans for emergencies, such as natural disasters or supply chain interruptions.
  • Foster a culture of continuous improvement and professional development among the warehouse team through effective training and motivation

Safeguarding:

  • Ensure the safety of Programme Participants, people who come into contact with the organisation and team members from any harm, abuse, neglect, harassment and exploitation including sexual exploitation and abuse (SEA) to achieve the programme's goals of safeguarding implementation. Act as a key source of support, guidance and expertise on safeguarding for establishing a safe working environment.
  • Practice, promote and endorse the issues of safeguarding policy among team members and ensure the implementation of safeguarding standards in every course of action. 
  • Follow the safeguarding reporting procedure in case any reportable incident takes place and encourage others to do so.
  Requirements  

Educational Requirements:  

Bachelor’s/ Master’s in Commerce / Arts / Science or any other similar discipline from any reputed university/institute.

Experience Requirement:

Minimum 5/6 years of working experiences with warehouse/ storekeeping with INGO / reputed company focus on emergency responses.

Additional Job Requirements:

Skills: Developing and implementing long-term strategies, analytical skills on inventory management, data analysis and reporting, verbal and written communication skills, Skilled in multi-departmental coordination, Ability to lead, guide, and motivate diverse teams.

Competencies: Innovative thinking on warehouse operations, accuracy in inventory tracking and attention to detail, adaptability in diversified perspective, decision-making ability, customer-Focused, ethical Practice.
