Job purpose

The Trainee will work as part of the central operations team, providing support to colleagues in that team, and across the office, for efficient and effective operational management. He/she will undertake a range of tasks, as required by operational need and as directed by the mentor/line manager. This traineeship offers an excellent learning opportunity for individuals seeking to develop their skills and experience in administrative support within a professional work environment. Operational responsibilities will include the following, with a particular focus on one or two operational areas, as required.

Main Duties & responsibilities 

  • Assist in procurement to ensure timely and quality of regular purchasing.
  • Assist Administration officer for preparation and process contracts, purchase order, procurement note, bid analysis etc. as per procurement policy.
  • Monitor and co-ordinate deliveries of items from suppliers to ensure that all items are delivered to site/store on time.
  • Monitor and co-ordinate calendar for vendor’s enlistment and ensure that enlistment process is completed in time according to procurement policy
  • Assist admin team in searching and identifying new hotels/accommodations.
  • Initiate establishing strong communication with travel agents and vendors to ensure smooth travel related to logistics and documentation.
  • Co-ordinate with program staff for all aspects of travel logistics, including accommodations, transportation, airplane reservations and airport pickups and troubleshooting.
  • Undertake any other administrative tasks or responsibilities as requested by the mentor.

Recent graduates from public / private universities or early-career professionals in office management.

The role may involve working with groups of vulnerable children and adults. For the successful candidate, mandatory training will be provided on BBC Media Action’s safeguarding policy and staff code of conduct.
