For Event Management Firm to organize the closing events of ASTHA
Introduction:
In cooperation with UNFPA Bangladesh, Ain o Salish Kendra (ASK) is implementing the Embassy of the Kingdom of Netherlands funded ASTHA project in four districts of Bangladesh since 2018. The project has been supported by Gana Unnayan Kendra in Bogura, Young Power in Social Action (YPSA) in Coxs Bazaar, Samaj Unnayan Sangstha (SUS) in Jamalpur and Sushilan in Patuakhali. The project, through its interventions, seeks to strengthen the existing services provided by multi-sectoral duty-bearers to the survivors of GBV in Bangladesh.
Background and Rationale of the Closing Events:
ASTHA project has been working to strengthen the governments’ existing multi-sectoral services available for GBV survivors. To ensure improved coordination and quality services, ASTHA commissioned an independent study of the existing system and identified its gaps and limitations and made some recommendations to fill the gaps. Besides, a referral pathway has been designed to work as a comprehensive guideline for duty-bearers directly providing services to GBV survivors. This pathway has been formulated to ensure improved coordination of all parties involved in providing services to GBV survivors to ensure that they receive necessary services as per their requirements as quickly as possible. ASTHA has been striving through its implementations to incorporate the project’s recommendations and strengthen the access to multi-sectoral public services for GBV survivors.
About the Closing Events:
Ain o Salish Kendra (ASK) is organizing a series of closing events to share its findings and recommendations on the gaps in the existing multi-sectoral service provided by the government for GBV survivors and to disseminate the knowledge of the project’s best practices, lessons learned, key achievements, challenges, sustainability and scaling up of the project in all the districts of the country. There will be a national dissemination event at Dhaka level including one panel discussion on the sustainability/scalability of the best practices of the ASTHA project and strengthening referral pathways.
Scope of work
The Contractor will carry out the following tasks (Dhaka): Annex-1 for details.
- Organize a venue for a half-day event
- Design and print banner
- Design, print and post invites
- Arrange snacks, tea and lunch for guests (estimated 80)
- Take photos of all participants for the report
- Rappoteuring of the event
- Report of the event in English and Bangla
- Secure one full page of coverage within a week in Daily Star and Prothom Alo providing details of the various comments made by participants (in standard Daily Star round table coverage format)
- Circulate press release (ASK to write) to all other newspapers and translate press release
wherever necessary
- Keep a record of attendance of participants, resource persons, guests in the workshop
- Decoration of the hall
- Sound system and SIS
- Other logistics
Deliverables:
The Contractor will deliver the following outputs:
- Half-day event in mutually agreeable venue attended
- Photographs of all participants and groups
- One page coverage printed in Daily Star and Prothom Alo
- Press release translated and circulated to other papers/media
- Decoration
- All logistics support
- Detail report of the event and report of the panel discussion.
Responsibilities of ASK
- Provide technical support in the event
- Identify relevant participants
- Engage a moderator to facilitate the event
- Pursue chief guest and liaise with other participants to ensure attendance.
- Write a press release
Budget
Please submit a budget including all expenses itemized:
- Event and the Panel discussion fee – decoration, banner, venue, invites, food, sound, logistics etc. (Annex-1 for details)
- Daily Star and Prothom Alo page fee
- Rappoteuring and press release fee
- Logistics fee
- Any other fee
Payment
- Payment will be made on A/C Payee cheque by completion and satisfactory delivery of all 7 under section 5.
- Price should be inclusive VAT & TAX, which will be deducted at source as per Govt Rules.
Timeframe:
The duration of the service contract will be from December 5, 2021 to December 26, 2021.
Submission of proposal:
Interested firms must submit an expression of interest and financial proposal should be submitted in two separate envelopes. These two envelopes are then to be put in one larger envelope, which must be sealed with a cover letter addressing the Executive Director, Ain o Salish Kendra, 2/16, Block-B, Lalmatia, Dhaka-1207, Bangladesh. The application to be submitted at ASK office not later than 30 November 2021. 5:00PM EST.
General conditions
- ASK as well as ASTHA team will have the copyright of all the results and documents elaborated under this assignment. Any publication also in extracts needs prior approval of ASK.
- ASK reserves the right to disagree with any incomplete work and consequently ASK may retain the last installment of the remuneration.
- The contracting authorities also reserve the right to amend this contract at any time according to the necessity of the project given prior communication.
- The contract may be terminated if the consultants are found non-compliant to the terms and conditions of the contract.
- Child Protection Policy: The team/individual shall comply with the Child Protection Policy of ASK. Any violation/deviation is in complying with ASK's child protection policy will result in termination of the agreement.
- Terrorism and money laundering issues: If there any proof of engagement in any terrorism and money laundering issues, ASK reject the proposal without assigning any reason
- You have to comply with the Child Protection Policy, Sexual Harassment Protection
Policy, Gender Policy and code of Conduct of ASK. Any violation/deviation is in Complying with Child Protection Policy, Sexual Harassment Protection Policy, Gender Policy and code of Conduct will result in termination of the Work Order.
