Associate Officer - Child Sponsorship

Salary and benefits      : Monthly Gross Salary will be 41,327/- with other admissible benefits such as festival bonus, provident fund, gratuity, medical benefit, group life insurance etc.

Job Summary

This position of Associate Officer-Child Sponsorship will be responsible for serving the individual supporters of the UK, Italy, Greece and Sweden to ensure smooth fundraising for ActionAid Bangladesh. The prime responsibilities of this position fall under handling web-based data management as well as for preparing CS reports like CS Reports like CS Stories and Next Step (NS). In addition, building capacity of Community Journalist Group (CJG) at LRP level and monitor yearly publication titled “Trinomul Barta” is another vital task to this position. Besides these, conducting regular field-visits, participating in Project Cycle Management maintaining regular communications with partner organizations, Funding Affiliates and Printing houses, working annually in collaboration with Child Sponsorship INGO network and providing support in organizing sponsorship events and trainings at national level are some other responsibilities.

Key responsibilities include (not limited to)

Reporting:

  • Theme selection for Sponsorship reports;
  • Share communication plan with LRPs;
  • Collect draft reports with case studies and photographs from LRP;
  • Prepare Community Voices content, Community Newsletter and Progress Report;
  • Reporting of PP1, NSAR and PP2 for Next Step;
  • Collect information and regular follow up to LRP for preparing the report;
  • Prepare director’s letter;
  • Prepare the first draft and sending to FA;
  • Ensuring the final approval by providing information if necessary;
  • Designing the layout for FA approval;
  • Ensuring the printing and final dispatch of the report;
  • Issuing work order and bill payment to Designers and printers;
  • Maintaining regular communications with LRPs, FAs and Printing agencies;
  • Preparing other relevant reports for Sponsorship purpose.

Data Management :

  • Performing all periodic works of CM, Photo & CH management for servicing a LRP’s supporters;
  • Take all regular action and ensure timely collection of Chid Profiles, Child Message, and Transfer packs, Welcome Packs, Photo update etc;
  • Ensure proper data management on NK of the assigned LRPs;
  • Dispatch all planned communication packs to supporters within deadline;
  • To do list generation on NK and collect and send required communications to Sponsors;
  • Logging Supporters’ letters/correspondence on NK.

Child Tracking :

  • Download LRP wise information from NK;
  • Generate child tracking format through MIS;
  • Circulate formats within the team to communicate with LRP for filling up;
  • Coordinate the process of compilation and circulation of final report within AAB.

Capacity building and LRP visit :

• Participate in Sponsorship national and international workshop and training;
• Facilitate training and workshop during national level training;
• Provide necessary training and support to LRP staff during field visit;
• Arrange field visit for supporter and peer colleague (CP, FA) and accompany with them;
• Assist team in Piloting new initiatives for developing communication materials and new initiatives for new CSP;
• Facilitate drawing support to children by involving Fine Arts personnel.

Participate in Project Cycle Management :

• Participate in Sponsorship Local Rights Program appraisal and report preparation;
• Monitor Local Rights Program sponsorship activities through field visit;
• Participate in Participatory Review and Reflection Process, Mid Term Review and Phase-out impact assessment.
Community Journalist Group activities:
• Edit the Grassroots Newsletter published by the Community Journalist Group members of the Local Rights Program;
• Archive CJG publications by 28 Local Rights Program coming from across the country.
National Events and others:
• Provide input in respective LRP’s budget preparation. Budget preparation for sponsorship activities like Report production, CM Collection, photo update etc;
• Maintenance of sponsorship internal equipment e.g. camera;
• Work to establish Green AAB.

Relationships

S/he will report to Manager – Sponsorship of ActionAid Bangladesh. S/he is expected to maintain functional relationship with his/her peers in team, priority, project management team. S/he must be able to communicate with other teams and units, both programme and function of AAB. S/he is expected to maintain relationship with relevant Government, Non-government agencies, funding affiliates and others.

Required Educational Qualification and Experience

Education & Training

  • Graduation or Post Graduation in relevant subject (s);
  • Writing Reports and Case Studies;
  • Managing web-based data management system (NK, SPSS).

Experience

  • Minimum 2 years working experiences in development organizations in relevant programme. Preferably worked in International NGO, National NGO;
  • Have expertise in writing reports/articles/features;
  • Experience on managing data in online data management system (NK, SPSS);
  • Have knowledge on basic photography;
  • Expertise in facilitating training sessions for capacity building of LRP staff.

Required IT Competencies:

  • Sound in Microsoft Word, Excel and PowerPoint;
  • Typing speed WPM 45;
  • Sound in presentation through PowerPoint (or open presentation in any session).

Required Language Competencies:

  • Bengali: Effective fluency in speaking and writing.
  • English: Effective fluency in speaking and writing.
  • French: very basic ideas.
