Officer - Child Sponsorship (Reporting)

Job Summary

The position Officer-Child Sponsorship (Reporting) will be responsible for serving the individual supporters of the UK, Italy, Greece and Sweden to ensure smooth fundraising for ActionAid Bangladesh. Reporting will be the prime focus of this position and therefore this position will be responsible for preparing Child Sponsorship (CS) reports like CS Stories and Next Step (NS). Subsequently this position will be responsible for handling web-based data management, servicing complaint/query dealing with the Photo Update and collecting Child Message and monitoring child tracking through MIS. Building capacity of partner organizations by organizing training and workshops is another vital task of this position. In addition, regular field-visits, participating in Project Circle management, maintaining regular communications with Local Rights Programme (LRP), Funding Affiliates (FA) and Printing houses, engaging with green initiatives as a Green-member, working with e-mag team, maintaining the tier of Sponsorship Equipment, providing support in organizing events in national level are some other responsibilities of this position.

Key Responsibilities (but not limited to):

Reporting

  • Theme selection for Sponsorship reports;
  • Share communication plan with LRPs;
  • Collect draft reports with case studies and photographs from LRP;
  • Collect information and regular follow up to LRP for preparing the report;
  • Prepare subtitle and insert them in video file;
  • Prepare the first draft and sending to FA or upload on stories hub;
  • Ensuring the final approval by providing information if necessary; Designing the layout for FA approval;
  • Ensuring the printing and final dispatch of the report;
  • Issuing work order and bill payment to Designers and printers;
  • Maintaining regular communications with LRPs, FAs and Printing agencies;
  • Preparing other relevant reports for Sponsorship purpose;

Data Management

  • Performing all periodic works of CM, Photo & CH management for servicing a LRP’s supporters;
  • Take all regular action and ensure timely collection of Chid Profiles, Child Message, and Transfer; packs, Welcome Packs, Photo update etc.
  • Ensure proper data management on NK of the assigned LRPs;
  • Dispatch all planned communication packs to supporters within deadline;
  • To do list generation on NK and collect and send required communications to Sponsors;
  • Logging Supporters’ letters/correspondence on NK.

Child Tracking

  • Download LRP wise information from NK;
  • Generate child tracking format through MIS;
  • Circulate formats within the team to communicate with LRP for filling up;
  • Coordinate the process of compilation and circulation of final report within AAB.

Supporter complaints and query

  • Generate outstanding correspondence report on regular basis;
  • Service complaints and queries logged on NK and communicate to FA;
  • Orient LRP staffs about importance of servicing complaints and queries.

Capacity building and LRP visit

  • Organize and Participate in Sponsorship national and international workshop and training;
  • Facilitate training and workshop during national level training;
  • Provide necessary training and support to LRP staff during field visit;
  • Arrange field visit for supporter and peer colleague (CP, FA) and accompany with them.

Participate in Project Cycle Management

  • Participate in Sponsorship LRP appraisal and report preparation;
  • Monitor LRP sponsorship activities through field visit;
  • Participate in PRRP, MTR and Phase-out impact assessment.

Relationships

  • S/he will report to Senior Officer – Child Sponsorship (Data Management) of ActionAid Bangladesh. S/he has to maintain functional relationship with her/ his peers in the team. S/he must be able to make effective communications with other programme and operational teams and Partner NGOs.
    Required qualification and competencies

Education & Training

  • Post-Graduation in relevant subject (s).

Experience

  • Minimum 3 years working experiences in Research, Publication and development sector. Preferably worked in International NGO, National NGO.

Other desirable skills / requirement

  • Have expertise in writing reports/articles/features;
  • Experience on managing data in online data management system (NK, SPSS);
  • Expertise in facilitating training sessions for capacity building of LRP staff;
  • Communication and report writing skills both in English and Bengali (with composing skill);
  • Confident user of MS Word, MS Excel, and some knowledge of MS PowerPoint;
  • Able to take decision in a timely manner, prioritise and multi-task work seamlessly;
  • Good negotiation, motivational, team-building skills.
