In Bangladesh, Acted started its activities in 2018 in order to respond to the Rohingya Refugee Crisis in the sectors of Site Management, Natural Resource Management, Community Based Protection, Information Management, Watershed Management, SuLMER, Emergency Preparedness Response, CDCS & Community Libraires in the Camps of the Kutupalong-Balukhali Expansion Site, Cox’s Bazar.

Key roles and responsibilities

A. Recruitment & Onboarding Support

  • Assist in scheduling job interviews, handling reference checks, and preparing contract documentation.
  • Ensure workspace setup and onboarding formalities, including staff ID issuance and login access.
  • Open, update, and maintain HR files (both hard and soft copies) for recruitment, contracts, attendance, leave, and exits.

HR Administration

  • Regularly scan and upload HR records, including attendance sheets, recruitment documents, and appraisal forms, to shared drives and the Archive.
  • Track staff absences, update timesheets, and assist with payroll preparation and Titanic report data collection.
  • Respond to routine HR inquiries from staff and guide them through basic administrative procedures.

Administrative & Office Support

  • Manage office supplies, stationery, cleaning items and supervise supporting staff (e.g. cleaners), ensuring proper restocking and hygiene standards.
  • Organize logistics for staff training, workshops, internal events, and guest accommodations, coordinating with Finance/Logistics teams.
  • Assist in visitor management, ID card issuance, camp pass arrangements for international staff and guests.

Exit & Clearance Procedures

  • Help facilitate exit formalities: asset returns, exit interviews, and documentation coordination with Finance.
  • Ensure closure of personal files and update HR systems to reflect exit status.

Reporting & Filing

  • Prepare monthly HR/Admin activity summaries and contribute inputs to HR reports.
  • Maintain a structured, confidential filing system for HR and administrative records, with periodical audits for completeness.

Cross-functional Coordination

  • Work closely with HR, Finance, Logistics, Security, and Program departments to ensure seamless support for internal and field operations.
  • Assist during HR/Admin audits and liaise with stakeholders to collect relevant documentation.
Required qualifications and technical expertise

The candidate must have the following educational degree                                                                            

  • Bachelor or Diploma degree in human resources management, Business Administration, Public Administration, or a related field.
Selection Criteria
  • At least 2-3 years experience in HR/Admin support in NGOs or INGOs, especially in Cox’s Bazar or similar contexts.
  • Familiarity with field-level HR processes (onboarding, recruitment databases, exit procedures) is an advantage.
  • Excellent command of Bangla and English (spoken and written). Experience with Rohingya-language engagement is a plus.
  • Proficiency with MS Office suite; comfort with digital filing systems and basic HRIS tools.
  • Strong organizational, interpersonal, and communication skills. High attention to detail and ability to multitask.
  • Capacity to maintain confidentiality and professionalism under pressure.
  • High level of honesty and integrity.
  • Strong interpersonal skills and ability to work in teams and multi-cultural environments.
  • Female candidates will be given priority.
