Key roles and responsibilities |
1. Project Implementation & Information Management
- Prepare, compile, and sort documents for data entry with validation checks in place.
- Design and revise data collection tools based on field experience, evolving needs, and lessons learned.
- Enter data accurately and efficiently into prescribed databases, forms, and systems.
- Verify data accuracy and completeness; follow up with enumerators or monitors to resolve discrepancies.
- Maintain clean, up-to-date datasets by removing duplicates and correcting errors.
- Supervise or conduct data collection exercises in the field.
- Create visual information products (e.g., site profiles, infographics, charts, brief reports) related to:
- Service delivery
- Population movements
- Community feedback (CwC)
- Risk of evictions
- Community governance
- Complaints and referrals
- Ensure strict compliance with data confidentiality and protection protocols.
- Support continuous improvement of information management systems, including tool/database design and data oversight.
- Store and archive soft and hard copies of project documentation (photos, reports, meeting minutes, etc.) in line with ACTED and donor procedures.
2. Beneficiary Data Management
- Responsible for sending weekly beneficiary data to WFP for approval.
- Analyze and report on:
- Female participation
- Persons with disabilities (PWDs)
- Unique beneficiaries
- Extension cases
- Manage and compile beneficiary attendance sheets and ensure accuracy for payment processing.
- Support any data analysis tasks assigned by the Senior Database Officer or Project Manager.
3. Attendance and Payment
- Compile and verify weekly and monthly attendance sheets for beneficiaries.
- Ensure attendance data is accurately linked to payment processing and shared with relevant departments.
- Follow up on payment-related issues and coordinate with finance and HR teams to ensure timely disbursement.
- Maintain records of payment status and support reconciliation processes.
4. Reporting
- Prepare and submit weekly and monthly reports, including:
- Updated databases
- Information products
- Attendance and beneficiary analysis
- Payment tracking summaries
- Ensure timely reporting of challenges, incidents (e.g., evictions, floods), and security concerns to the Project Manager.
5. Protection Mainstreaming
- Integrate gender, protection, and GBV considerations into all data and field activities.
- Promote and adhere to PSEA (Prevention of Sexual Exploitation and Abuse) policies.
- Support inclusive participation of women, youth, and marginalized groups in governance and SMS activities using IM tools.
- Refer and follow up on protection cases with relevant partners.
- Ensure sensitive data is handled with confidentiality and shared only when strictly necessary.
6. Project Management & Coordination
- Assist the Project Manager in developing weekly and long-term work plans, especially for IM activities.
- Attend coordination meetings and ensure alignment with the broader project team.
- Schedule and follow up on stakeholder meetings and maintain stakeholder engagement records.
7. HR & Admin Support
- Compile and submit:
- Attendance sheets
- Phone bills
- Other HR/admin-related documentation for the NRM team
- Support recruitment and training of enumerators for data collection.
- Identify and communicate capacity-building needs to the line manager/HR.
8. Compliance & Documentation
- Ensure compliance with ACTED and donor procedures.
- Maintain accurate records of all project documentation in both soft and hard formats.
9. Other Duties
- Translate documents (e.g., reports, signs, beneficiary lists) as needed.
- Perform any additional tasks assigned by the Project Manager.

Required qualifications and technical expertise |
The candidate must have the following educational degree

Selection Criteria |
- At least 2-3 year of experience in related field
- Previous experience conducting field data collection with humanitarian or development organizations desirable
- Advance working knowledge on software programs (MS Word, Excel, PowerPoint, ODK, KOBO etc.).
- Ability to assume multiple project responsibilities in a focused and dedicated manner.
- Experience in data processing and analyzing with NGOs.
- Proven linguistic proficiency, advanced editing skills and command of English is mandatory.
- Familiarity with data collection and visualization tools.
- Demonstrated ability to work quickly, accurately, meet deadlines, and process information in support of changing program activities is necessary.
- Ability to manage time effectively and work in a fast-paced, results-oriented work environment.
- Flexibility and adaptability are essential, as well as the ability to plan, take initiative and organize work independently.
