Job Purpose: The incumbent is responsible to relieve management of HR and administrative details, all projects; coordinate workflow with HR Officer and Admin & IT officer. He/she will support the operations team to ensure day-to-day activities of Health and Gender Support Project (HGSP), Cox’s Bazar.

Main duties & responsibilities:

HR Responsibilities (50%):

  • Assist to HGSP recruitment process including but not limited to initiate RRF, communicating & inviting shortlisted candidates for interview, arranging interviews, Prepare recruitment documents etc.
  • Onboard new HGSP staff and provide orientation on the day of joining.
  • Process the employee personnel file with proper documentation and add information in the ERP system.
  • Ensure and manage employee monthly leave and attendance, movement register, timesheet submission.
  • Preserve all HGSP HR documents and maintain complete confidentiality.
  • Any Other responsibilities given by the supervisor.
  • Ensure the safety of team members from any harm, abuse, neglect, harassment and exploitation to achieve the program’s goals on safeguarding implementation. Act as a key source of support, guidance and expertise on safeguarding for establishing a safe working environment.
  • Practice, promote and endorse the issues of safeguarding policy among team members and ensure the implementation of safeguarding standards in every course of action.
  • Follow the safeguarding reporting procedure in case any reportable incident takes place, encourage others to do so.

Admin Responsibilities (50%):

  • Ensure all office supplies are available and generate Purchase Request (PR) for when needed.
  • Routinely re-order office supplies through procurement and prepare preserve GRN.
  • Prepare office utility/vehicle/air ticket/hotel bill and send to supervisor for review and submit to HGSP finance staff.
  • Assist physical inventory counting and keeping record of consumable items
  • Assist to complete expense reports after trip.
  • Ensure that office tea/coffee materials are served, poured, removed, and cleaned.
  • Ensure Load and unload goods in/from vehicles and store them as instructed.
  • Assist to organizing and conducting workshops/meetings.
  • Manage program logistics (i.e., maintain stock), and issue to staff and record it accordingly.
  • Provide services as needed, such as photocopying, binding etc.
  • Visits other offices for official purpose as and when required.
  • Preserve all HGSP administrative files hard copy as well as soft copy that includes Memo, approved TAR etc.
  • Perform other duties as assigned by the Admin & IT officer.

Safeguarding/ PSEA

  • Practice, promote and endorse the issues of safeguarding policy among team members and ensure the implementation of safeguarding standards in every course of action.
  • Follow the safeguarding reporting procedure in case any reportable incident takes place, encourage others to do so.

Special Assignment

  • Carry out any other tasks assigned by the supervisor and senior management team.

Key Requirements:

  • Graduate from any discipline. Masters/MBA in Management, HRM, Development Studies will be added advantage.
  • At least two-year work experience in a similar role.

Monthly Gross Salary (minimum-Maximum):

  • 40,000 - 60,000 BDT
