The Procurement Assistant reports to the Procurement Officer.

Responsibilities: The Procurement Assistant will be responsible for the following duties:

  • Extract and input data from various sources in procurement systems;
  • Respond to queries regarding procurement data from staff in the unit and elsewhere in the Programme;
  • Initiate administrative actions related to procurement information;
  • Update and track processing of procurement actions;
  • Prepare initial purchase orders and contracts for review by the Senior Procurement Assistant or a Procurement Officer;
  • Maintain relevant internal databases and files; keep track of contractual agreements;
  • Verify claims for accuracy and conformance with procurement rules and regulations;
  • Draft routine correspondence related to the unit’s work and type a variety of material such as correspondence, reports and papers;
  • Track delivery status of procured items;
  • Provide information related to the above functions and exchange a variety of statistical information;
  • Prepares for final signature, maintaining full confidentiality at all times, Invitations-to-Bid (ITB)/ Request for Quotations(RFQ), Procurement Contract Review Committee (PCC) submissions, Purchase Orders (PO) and all related procurement documents,
  • Monitor production/ manufacturing and delivery status, issue delivery orders/ letters, general correspondences related to local procurement of goods and services in compliance with WFP Rules and Regulations and other applicable procurement procedures.
  • Follow-up with suppliers for timely submission of invoices and processing for payment.
  • Perform other related duties as required.

Expected Results: With initiative and judgement produces organized, accurate and well documented records with well analyzed data and addresses unforeseen situations seeking advice and guidance from supervisor, as necessary. May assign work to staff in lower grades.

Ability to obtain or give factual information of a non-routine nature involving interpretation of facts and requiring clarity of expression. Ability to perform detailed work, frequently of a confidential nature and/or to handle a large volume of work systematically, effectively and accurately. Ability to train other staff regarding relevant work responsibilities. Ability to work in a team environment and coordinate assignments to achieve common goals. Ability to deal patiently and tactfully with people of different national and cultural backgrounds.

Concern for Order: Develops strategies to quickly respond in high pressure situations and systems to organise complex data for future use.

Information Seeking: Consolidates data obtained from multiple sources. Identifies areas where further research and analysis are necessary.

Minimum qualifications:

Education: University Degree and/or equivalent experience with emphasis in one or more of the following disciplines; finance, accounting, economics or business administration.

Experience: At least four years of progressively responsible support experience including at least two years in the field of procurement or related field.

Knowledge: Excellent in utilizing computers; MS Office such as Access, Word, Excel and Power Point. Working knowledge in spreadsheet and other software packages.

Language: Fluency in both oral and written communication in English.
