Assistant Project Manager - Monitoring & Documentation

No. of Vacancies:  01 

Responsibilities & Specific Tasks:

1. Ensure that monitoring & documentation tools & framework of the project is in place and fully implemented.

  • i. Develop monitoring tools and framework in consultation with the programme team and ensure its implementation by the entire project team. 
  • ii. Ensure data capture and quality through staff capacity building and monitoring. 
  • iii. Prepare reports - both internal and external audience;
  • iv. Coordinate and compile development and updates to the project, issues, innovation and lessons learned;
  • v. Work closely with the Project Director to generate quarterly and annual work plans and targets;
  • vi. Support the Project Director in preparing the ToRs and coordinating review and evaluation exercises as required;
  • vii. Act as the coordinator and support all activities leading to the annual audit exercise and follow up of the audit recommendations.

2. Ensure that documentation and learning sharing strategy of the project is in place and public information products are produced and disseminated in an efficient and effective manner.

  • i. Develop the project documentation & learning sharing strategy and periodic action plans in consultation with country office knowledge management team and ensure implementation by the entire project team;
  • ii. Develop project case studies, newsletter, innovation lesson learning documents.ted; 
  • iii. Pre-testing, monitor effectiveness and evaluation of IEC/BCC/KAP materials and activities of the project. 
  • iv. Ensure proper documentation of activities undertaken, as well as compile articles/write up after each activity;
  • v. Analyze and provide reports on the initiatives undertaken with a focus on the analysis of the impact among key audience/target group;
  • vi. Provide media monitoring and reporting of the project and share such information regularly with Programme/Project teams; 

3. Develop the project knowledge products and information management systems (IMS) in collaboration with the project team and management.

  • i. Conduct need assessment and support development of the project IMS and link it up to country knowledge management system.;
  • ii. Develop necessary database for the project and keep it updated; 
  • iii. Work as focal point with the project team in generating, documenting and disseminating high quality information and knowledge about the project best practices and lessons learned on an ongoing basis;
  • iv. Contribute to relevant knowledge networks and communities of practice and coordinate the same within the programme team;

4. Analyze and address child safety measures (CSM) and gender equality issues in the project plans, activities and outputs.

  • i. Promote CSM and gender equality and social inclusion as guiding principles in baseline establishment, planning, implementation, Monitoring of the project. 
  • ii. Ensure analysing and addressing CSM and gender equality and monitor children and women’s protection, safety/security and “do no harm” issues.
  • iii. Ensure that women & girls’ experience and knowledge are valued and incorporated in all project plans, policies, activities and outputs.

Educational Requirements: Master Degree in any subject

Additional Job Requirements:

  • i. 3-5 years experience in development sector; monitoring, communication and documentation experience in an NGO.
  • ii. Good conceptual, analytical and representational skills
  • iii. Proven computer skills and knowledge of MS Office applications.
  • iv. Excellent presentation, communication and report writing skills in English
  • v. Confidence on learning dissemination and knowledge management.
