Job Profile: Admin Officer

Introduction

Solidaridad Network Asia is a global network organization working on sustainable, resources-efficient and inclusive supply chains. Solidaridad is working across 37 countries through 9 Regional Excellence Centre’s, and facilitating development of socially responsible, ecologically sound, and profitable supply chains. In Bangladesh, Solidaridad has been implementing the Sustainable Agriculture, Food Security and Linkages (SaFaL) programme in southwest Bangladesh with the overall objective to enhance food and nutrition security of smallholder farmers and landless workers through improved production practices, business and supply-chain development. Through a multi-stakeholder initiative, SaFaL developed business models for inclusive value chains of agricultural commodities for dairy, fruits and vegetables, and fisheries those brought positive outcomes for smallholders through increased productivity and income, quality of nutritious food intake as well as economic and environmental benefits.

Solidaridad is looking for an experienced Admin Officer to join the Bangladesh Country team in managing and supporting administrative, procurement and office procedures.

Overall Job Description

The Admin officer will perform a range of administrative, logistic and procurement responsibilities. S/he will manage office stock, prepare regular reports on office expenses and budget, and maintain records of procurement and asset list. In addition, s/he will assist in the budget preparation process maintenance of office equipment, vehicles and other assets. The Admin Officer will be based on Khulna and report to the Manager-Procurement and Field Operation.

Key Duties and Accountabilities:

  • Plan and operate the administrative and procurement procedures and systems;
  • Oversee office facilities and services, maintain inventory of office equipment, supplies and support purchase of new material in compliance with policies and regulations;
  • Prepare regular administrative and procurement reports;
  • Support senior management in organising workshops/seminar and any other internal and events;
  • Prepare travel, accommodations and logistics for staff and visitors;
  • Maintenance of vehicles including registration, insurance and fitness.
  • Ensure timely verification and submission of bills of office expenses;
  • Maintain fixed assets register, office supplies stocks register;
  • Prepare contracts for consultants and service providers;
  • Maintain manage professional communication with consultants and service providers.

Education & Experience Criteria

  • Masters degree in any discipline, preferably in Business Studies
  • Minimum 5-7 years of relevant experience with international and business organizations managing administration and procurement;
  • Professional computer skills especially in MS office, Excel, Word and PowerPoint;
  • Knowledge and understanding on administration and procurement including donor compliances and government procedures and practices;
  • Ability to establish and maintain satisfactory relationships with different stakeholders relevant to Solidaridad work in Bangladesh;
  • In-depth understanding of office management and operation procedures;
