Job Profile: Programme Support Officer

Introduction

Solidaridad is working across 37 countries through 9 Regional Excellence Centre’s, and facilitating development of socially responsible, ecologically sound, and profitable supply chains. In Bangladesh, Solidaridad has been implementing the Sustainable Agriculture, Food Security and Linkages (SaFaL) programme in southwest Bangladesh with the overall objective to enhance food and nutrition security of smallholder farmers and landless workers through improved production practices, business and supply-chain development. Through a multi-stakeholder initiative, SaFaL developed business models for inclusive value chains of agricultural commodities for dairy, fruits and vegetables, and fisheries those brought positive outcomes for smallholders through increased productivity and income, quality of nutritious food intake as well as economic and environmental benefits.

Overall Job Description

The Programme Support Officer will perform a range of administrative responsibilities related to office operation, finance, logistic assistance and visitor management. S/he will have to maintain professional interaction with internal employees and external stakeholders. The incumbent should have excellent communication skills, both verbal and written, and typing ability both Bangla and English. S/he will have to organize and support meetings, events and marinating proper filing systems for invoice and payment procedures.

The Programme Support Officer will work under the overall direct supervision and guidance of Senior Admin Officer and will perform the following key duties and accountabilities related to administrative, financial management, procurement and disbursement-related services;

Duties and Accountabilities:

  • Provide comprehensive support for maintaining organizational administration and information systems;
  • Manage processes related to the commissioning of consultants undertaking specific pieces of work for the team, and act as point of contact for consultants undertaking reviews and evaluations;
  • Manage and maintain contract agreements, invoices, expenses and other admin and finance activities;
  • Provide project management administration support including managing sign off and commissioning of work;
  • Manage supplier payments, invoices and purchase requisitions and keep accurate records of these for monitoring purposes;
  • Ensure administration and financial support services for effective implementation of operational procedures and compliance, and procurement management; Drafting letters and other documents, such as PowerPoint presentations, word document or excel worksheet in both Bengali and English;
  • Support and coordinate programme and programme support staff by providing administrative support and performs frequent tasks, including scheduling meetings, correspondence, and handling visitors;
  • Assist in preparing documentation of admin and finance tasks related procurement and payment.
  • Proactively maintain communications within internal and external stakeholders;
  • Receive and send postal, courier packages addressed to the employees of the organization and sending to the addressed person correctly and maintaining register accordingly.
  • Coordinate and manage the appointments and meeting time of the visitors/clients with the management and other employees of the organization.
  • Provide other administrative support as required, including support to team members on more complex administration e.g. recruitment processes, visas, travel etc.

Education & Experience Criteria

  • Minimum Masters in any discipline from a renowned institution/public university college;
  • Minimum 3 years’ of relevant experience at the national or international organizations; proven experience in the relevant position;
  • Excellent typing skill both in Bengali and English is mandatory;  
  • Good written and verbal communication skills in English, including the ability to set out a coherent argument in presentations and stakeholders interactions. Ability to communicate effectively with a wide range of relevant contacts.
  • Sound narrative and analytical writing skills;
  • Knowledge of office management and basic bookkeeping;
  • Familiarity with office machines and knowledge to operate office equipment (fax, copier, mail, etc.)
  • Professional computer skills especially in MS office (especially Excel and Word) and electronic communication;

Salary & Other Benefits

  • Salary and benefits shall be fixed within the existing Solidaridad Asia pay scales and in line with Service Rules.
