Sesame Workshop Bangladesh, the country office of Sesame Workshop, a not-for-profit educational organization, creates innovative and engaging content to help all children grow smarter, stronger, and kinder. For more than 40 years, the Workshop has been a global pioneer in educating and entertaining children through multiple media. Sesame Workshop Bangladesh (SWB) started its operations since 2003 and got registered with the NGO Affairs Bureau under the Office of the Prime Minister of Bangladesh in 2013. SWB produces the famous children television series `Sisimpur’ being broadcast by multiple TV channels; develops variety of print materials including storybooks and play materials; and distributes them through government organizations and NGOs.

Position Profile

Executive Assistant is a junior-level position at SWB with key job role in country office operations through supporting the Executive Director. This position plays an important role in day-to-day management of the Sesame Workshop Bangladesh country office through assisting the assistance in leave management, personnel filing system, recruitment process, procurement, logistics support for travel and workshop, seminar or any other event. The description below is indicative and will not be limited to the following regarding job profile -

Key Responsibilities:

Administrative operations:

  • Maintain personnel calendar and meeting schedule for ED
  • Make logistic arrangement including flights reservations, hotel and vehicle arrangement for domestic and international travel for Key personnel and SWB office
  • Prepare correspondence, memos, reports, presentations, and emails for Key personnel in relation to the office operations
  • Carry out other duties such as translation works, take minutes of office meetings as requested by the Key personnel
  • Update the filling system and manage filing the office documents for both hard and electronic copies.
  • Provide support to make Inventory/Assets insurance
  • Support Training, Workshop, Visiting mission by tour management, venue selection and hotel accommodation.
  • Contribute to organizing/coordinating and participate actively in staff meetings of SWB.

HR operations:

  • Assist in carrying out different recruitment related tasks- Download applications and make short list among them, sending invitations, prepare candidates summary sheet, coordinating interviews, logistical support
  • Assist in selection and placement related task. After selection communication, collect necessary documents and information, ensure post joining formalities
  • Open and manage Personal Files on a regular basis and ensure its confidentiality
  • Process clearance of exiting staff and ensure final payment through work with finance team
  • Regular follow-up inclusion and exclusion of staffs into Accidental & Death Insurance. Also Assist in timely renewal of insurance policies and contract with provider
  • Keeping leave record for the office staff
  • Develop form direction of SWB management

Procurement:

  • Work as member of the SWB procurement committee and support the committee with necessary inputs
  • Support the Admin Manager in maintaining different procurement process and documentation

Social Media:

  • Prepare the social media plan, have it approved by the ED and implement the plan accordingly
  • Maintain Sisimpur’s social media platforms and YouTube channel and update the respective people regarding the Sisimpur’s Social Media Reach and Impact;
  • Maintain the Sisimpur’s website and keep feeding the site with updates contents.
  • Any other SWB task as assigned by SW/ SWB management.

Key Qualifications Required

  • University graduate in any subjects of social science from a reputed university from Bangladesh or abroad, candidates with masters’ degree will be preferred;
  • Minimum 2 years of experiences as Executive Assistant or Admin Assistant with international NGOs or with any renowned organization, experience of managing Social Media will be an asset;
  • Fluent in reading and writing Bangla and English;
  • Strong knowledge of Microsoft Office Suite;
  • Excellent presentation and inter-personal communication skills; 
  • Team-player, Hard-working and Committed to meet the deadlines;
