Job Description of Project Coordinator
 

Proshanti UK is a British charity based in London and serves the poor and vulnerable women in Juri, Moulvibazaar district in Bangladesh through an ante-post-natal care project.

The Proshanti antenatal programme provides a comprehensive programme of ante and post natal as well as intra-partum care to a good number of poor women in Juri, Moulvibazaar. This service is run from a private clinic in Juri.

The service provides:

  • high quality ante-natal care delivered in a respectful way which ensures safe care and delivery to both women and newborns
  • a quality intra-partum care at the time of delivery including respectful behaviour to the patient
  • a quality post-natal care for the newborns
  • education and information to women to ensure that they have good understanding of normal pregnancy as well as risk/danger associated with it or signs for complications, and also on use of contraception

The role of the Project Coordinator is to implement the programme including its coordination, supervision, representation and reporting. Working under the supervision and mentorship of a foreign Volunteer Project Manager (PM) at Proshanti UK’s Juri clinic, the PC will perform the day to day activities of the project as outlined below and as directed by the PM in Juri, the Programme & Fundraising Manager and the Board of Trustees in London, and the Advisory board in Bangladesh. The PC’s role is crucial to the success of the project as s/he will from time to time act as the project leader whenever required and will represent Proshanti in all meetings with the GOB and the NGO community and other forums on invitation.

Key tasks

  • to co-ordinate work of the ante-natal clinic situated at a private medical centre and office to ensure smooth functioning of the project
  • to represent Proshanti in all meetings (upon invitation) of the Upazila Health Complex, the office of the UNO and the Upazila Chairman, and other government and non-government agencies
  • to co-ordinate with the PM over the management of the project including referrals and other emergency cases
  • to co-ordinate with government departments and other NGOs on education and awareness raising of the community on the importance of healthy motherhood and healthy babies, and to co-ordinate and deliver education sessions in conjunction with local health workers
  • to assist in identifying poor and vulnerable pregnant women through cross checking of their economic and social conditions who are suitable for the Proshanti programme, this may include prior home visits by Proshanti staff
  • to undertake regular checking of equipment - both in function and stock check and order for any procurement to clinic manager as appropriate (e.g. urine test sticks,  batteries, etc)
  • to participate and prepare reports for monthly meetings with the PM and other staff members

Reporting responsibilities

  • to report to the Project Manager on all matters related to the functioning of the project and to assist the PM at all times including interpretation in Bangla whenever there is a delegation coming from UK
  • to write monthly, quarterly and annual reports and submit to the HO and other government offices as required
  • to help in keeping records of all patients through registration documents and personal files and the and also copy those in the office computer/laptop for sharing with the head office
  • to keep detailed records which can be evaluated and audited, and which provide the information needed for regular monthly reports
  • to coordinate with the host clinic on raising invoices and bills for payments, check those and submit for approval

Behavioural responsibilities

  • to avoid taking any tips, taxi fare, gift, money, or any payment or anything that could be referred to as bribe or payment from any patient or member(s) of their family
  • to avoid taking any food or drink or anything that may have a value or price if visiting patients homes
  • to attend the office on time, maintain attendance records and work full time even without supervision
  • to behave passionately and politely with patients and their families as well as clinic staff at all times and to show restraint in case of any situation arising from any agitation
  • to keep all patients’ records confidential that may hamper the personal life of the patient …’no medical or other information, either written or verbal can be disclosed to any unauthorised person or organisation without the knowledge and written agreement of the patient or of Proshanti UK’.
  • to avoid to speak with the press at any time, only the head office has this responsibility

Qualification and experience needed

  • A minimum of Bachelors degree in social science / nursing / para-medic
  • A minimum of 3 years experience in a similar position within a health-care project
  • Good Bengali writing and speaking skills, local (Sylheti) accent will be an advantage
  • Candidates from greater Sylhet region or whoever is committed to live in the project area in Juri upazila at Moulvibazaar district will be given preference
  • Good English speaking and computing skills and ability to write reports both in English and Bengali

Salary & contract: Consolidated pay of Tk. 20 - 30 thousand per month based on experience + 1 month’s salary as festival bonus, no other entitlement will be offered at this point.

Contract of employment will be initially for one year with possibility of extension. Full pay will be given during the probation period of 3 months when either party can terminate the contract.
