POSITION PROFILE

1. Identification

2. Overall Purpose/Broad Function:
Provides communications and administration support primarily to the Country Director but also to National Program Managers as required, organizing incoming/ongoing work and documents, ensuring events/ meetings are organized and supervisors are kept informed of any changes, and following up to ensure timely responses and that commitments are met. Support to Program team in completing their responsibilities related to the preparation of contracts, payment requests and related documents, updation of online contracts database.
3. Key Duties and responsibilities:

The specific terms of reference for this position are:

Program Assistance and Official Project documentation

  • Assist in the preparation of required documentation related to program activities, including budgets. Assist day-to-day project administrative responsibilities including determining funds available for operations management.
  • Assist in organizing and executing workshops/meetings.  Responsible for the logistics management for the meetings and workshops.
  • Assist in the planning and organization of all program related national /international travel including itineraries, travel letters, travel authorizations, visas, ticketing and hotel reservations for program as well as project staff such as consultants , NI sponsored participants, visitors etc.
  • Coordination with NI Asia and NI HQ on various program related issues, submission of contracts, grants agreements, travel letters, payment processes, financial reporting and all official documentation for review of the Procurement and Contracts Officer.
  • Submit and follow up requisitions with partner organizations for use of their services including transport, conference arrangements, maintenance of NI office, use of equipment and other services.
  • Procurement for program/ project related material and preparation of documents for customs clearance. 
  • Determine equipment requirements for NI office and arrange purchases in consultation of CD/NPM/NPOs as well as purchase of stationery items and printing for NI office.
  • Prepare grant agreements including the project details, financial summaries and their execution, circulations sheets and payment requests/ follow-ups etc.
  • Preparation of petty expense statements and monthly activity sheets and submission to NI Asia.
  • In consultation with the CD/NPM/NPOs liaise with project partners on the submission of technical and financial reports and ensure that obligations are met by both the recipient and NI.
  • Facilitate all arrangements concerning consultancies including preparation of contracts, cheque requisitions, payment, submission of reports, amendments and related follow-up action.
  • Provide support and assistance to NI missions, consultants during their visit to Pakistan

Secretarial Responsibilities:

  • Assist in preparing briefing materials, presentations and assist in final completion, formatting and printing of documents and reports.
  • Handle main reception of NI Office and telephone exchange and terminate calls to related/ desired individuals. In the absence of any staff, recording and dissemination of messages.
  • Draft letters, correspondence with NI partners and execute prompt dispatch of outgoing mail, faxes, emails and make photocopies etc.
  • Supervise support staff and assignment of their respective duties, in consultation with NPM/NPOs. Ensure smooth working of all office equipment’s and their repairs.
  • Maintain contacts database in MS outlook.
  • Maintain efficient filing system – as well as the electronic filing of NI documents, reports, correspondence and other documents - responsible for maintaining of office copies.
  • Assist in arranging program meetings and NI missions with partners.
  • Assume responsibilities of the NI office and responds to all enquiries, mails.

General:
To carry out any other job related duties assigned by the supervisor.

4. Supervisory  Responsibilities:
  • This position does not have any supervisory function
5. Education/ and Professional Experience:
  •  Minimum: Bachelor’s degree in any discipline with at least five years of working experience preferably in the development sector. Experience of managing program finances and monitoring contracts will be an added advantage.
6. Language Skills
  •    English and Bangla-both oral and written.
 
7. Travel Requirements
  •    This position needs some travel within the country.
