Position Title: Administrative Officer

Remuneration: Negotiable (competitive monthly salary and benefits according to the level of qualification of selected personnel)

Duty Station: KOICA Bangladesh Office, Dhaka

Contract Type: 1 year (Renewable based on the performance)

Organizational Background:


Korea International Cooperation Agency was established in 1991 as a governmental organization to enhance the effectiveness of the Republic of Korea's Official Development Assistance (ODA) programs for developing countries. Korea International Cooperation Agency has selected seven priority sectors to assist the sustainable social-economic development of developing countries based on their development needs and Korea’s comparative advantages.

In 1993, KOICA dispatched volunteers to Bangladesh, initiating KOICA’s partnership with Bangladesh.

Bangladesh is one of KOICA’s priority partner countries in terms of bilateral cooperation. KOICA has increased its development activities in Bangladesh in line with Korea’s ODA policy.

KOICA Bangladesh Office implements development projects with the Government of Bangladesh, UN Agencies and INGOs/NGOs, arranging invitational training for government officials, and dispatching World Friends Korea Volunteers, Advisor and Medical Doctor to contribute their expertise knowledge in the development of Bangladesh. (Education, Health, Public Administration, Agriculture and Fishery, Technology & Environment & Energy, Cross-cutting issues (Gender/ICT/Human Rights), Climate Change)

Major Duties and Responsibilities:

Administrative Work

  • Plan, prioritize and implement activities related to administrative needs;
  • Ensure efficient, effective, responsive, transparent and accountable provision of administrative services
  • Coordinate and work together with procurement staff to get goods and services
  • Ensure a clean and healthy environment by ensuring proper maintenance of office premises;
  • Ensure production and maintenance of up-to-date and accurate administrative records and reports including an organized filing system.  
  • Design and conduct logistics and supply needs assessment and prepare plans.
  • Assist staffs to get visa(extension) and obatain security clearance;
  • Assist staffs to get ID and Passbook and Airport Security Pass;
  • Assist staffs to import and export household goods and car;
  • Ensure timely supply of stationary, minor IT equipment and printing.
  • Review and update transportation and arrange vehicles.
  • Facilitate organizing events such as conferences, workshops and seminars;
  • Coordinate the protocol (Airport pass, vehicles, accommodation and other logistics)
  • Support office staffs to arrange the field visit
  • Manage and update the office supply list and inventory
  • Coordinate the bank related work in the office (Transfer of fund, issue of check etc.)
  • Any other duties, as assigned by the management.

Communication Support

Under the supervision of the Senior Program Officer, assist in the planning, implementing, monitoring and evaluation of communication strategy, to promote respect for KOICA’s mission in Bangladesh.

  • Support the communication strategy, by coordinating appropriate audience research and compiling and analyzing relevant data. By collecting information from internal staff and stakeholders prepares background communication and promotional materials.
  • Collect and maintains information on project activities by reviewing reports through first-hand sources and meeting with internal staff.
  • Establish/maintain an up-to-date documentation, press releases and clippings, as well as photographic and audio-visual materials.
  • Support establishing, documenting, reviewing, and refining process of communicating with media contacts, including press conferences and events, issuing of media materials etc.
  • Support ensuring rapid and accurate information dissemination to the media, government, the public, and the field and other appropriate audiences.

Education/ Experience/Skills:


  • Bachelor’s Degree in public administration, business administration, public relation, advertisement or any other related field preferable


  • Minimum 5 years relevant experience in office management, business administration or any other related field;
  • Specialized training in administration and logistics is an asset;
  • Administrative and logistics management experience with the development partner and NGO a strong asset;
  • Experienced in working with the International Organizations, Government, public agencies, and civil society preferable.


  • Communication: Proven ability to write in a clear and concise manner and to communicate effectively orally, good report writing skills in English
  • Analyzing Skills: Ability to make rational judgments for the available information and analysis
  • Technological Skills: Excellent computer skills knowledge such as Microsoft Office, Internet and others
