A large multinational Power Generation Company with operations in Bangladesh is looking for an experienced Admin Officer.

Admin Officer

Required Qualification:

  1. Bachelor’s Degree, ideally educated in English medium, or completion of higher secondary education with minimum 5 years of experience in a related field, is required.
  2. Prior Work Experience:  3 to 4 years working experience in the related field.
  3. Additional Training/Qualification:  Diploma in secretarial science, use of office appliances such as dicta-phone, PABX system, fax machines, computer operations, language training or correspondence course, etc.
  4. Knowledge:  Must have knowledge in the management of PM’s office & it’s requirements, and knowledge of important office numbers.  Knowledge of protocol is a plus.
  5. Skill and Abilities: Should be able to type at least 40 wpm, and shorthand 100 wpm. Able to draft letters, memoranda and various correspondences; proofread text, grammar, for accuracy and print in final for PM’s signature.  Should be able to work under pressure.

Detail duties and responsibilities:
Responsible for the day-to-day management of the Office of the Plant Manager; organize papers, files and documents required by the OPM; draft or assist the Plant Manager in drafting various correspondences, take dictation or note of Plant Manager’s instructions and requirements, take appropriate action on matters which require his immediate attention. Work closely with different departments & provide the Plant Manager with logistic support in operational functions. Receive guests and maintain courtesy & protocol.  Maintain Plant Manager’s calendar, notify and/or brief the Plant Manager on meetings, and daily schedules.  Liaise with travel agents/airlines and/or make reservations for airlines, hotels, etc. for the PM’s travel in and out of the country.

Prepare PM’s Business Expenses Report; collect and compile weekly activity reports of different departments and put in final for PM’s approval.  Receive, scan & distribute incoming & outgoing letters, memos & other correspondences including postal & DHL services. Prepare meal requisition forms for guests.  Sit in monthly meetings and all meeting PM attended take note of meeting proceedings & prepare meeting minutes. Serve notice to all member prior meeting. Escort visitors and/or direct them to appropriate departments or persons.  Exercise extreme caution in sharing or divulging information that are sensitive or confidential in nature.

Responsible for performing various routine typing, filing or other clerical assignments as directed. Maintain office Notice/ Order/ Memorandum files and distribute as necessary. In case of leave application/employee pass/travel order/ rest day /overtime form, check them whether they are filled properly or not before seeking PM’s approval.  Maintain store located in the admin building and prepare requisition slips according to admin personnel and OPM’s requirements. Maintain plant motor pool vehicle scheduling & proper management. Engage in Plant canteen management, and cost accounting. Prepare project based staff salary.
