Job Title: Administration Officer
Division: Administration and Support
Reporting
Chain: Head of Merchandising

 

Responsibilities:

  • Provide full spectrum of professional comprehensive secretarial and administrative support to Head of Merchandising.
  • Assist with preparing business proposals, consolidating reports, charts, agendas, presentation materials.
  • Assist with tasks across the Administration spectrum, which may include some Finance, HR, IT matters.
  • Coordinate and assist with all Business Units to ensure a smooth day-to-day operation.
  • Ability to escalate immediate urgent matters by keeping all Business Units informed on progress.
  • Co-ordinate with management for various assigned projects in Bangladesh & overseas.
  • Organize various events including but not limited to internal conferences, management meetings, video conferences and external supplier reviews. This includes professional preparation of all documentation and materials to ensure the smooth running of the functions.
  • Manage all business and travel arrangements, including liaising with local and overseas Senior Executives, clients and business associates. Organize hotel and travel arrangement, apply visa, travel expenses.
  • Establish & maintain an efficient and systematic filing system and properly handle confidential information and material to ensure information security.
  • Undertake any ad hoc task as delegated by management.

Requirements

  • Degree holder of Business Management or related discipline
  • Minimum 3-5 years working experience with Senior Management at regional level
  • Highest degree of confidentiality
  • Should be a go-getter and reliable person
  • Excellent communication, interpersonal and negotiation skills
  • Ability to multi task and handle queries on the phone as well as walk - in guests
  • Dynamic and flexible, positive mindset and eager to learn
  • Pleasant, presentable, professional, mature and committed
  • Very good in time management and task prioritization and ability to meet strict deadlines
  • Strong team-player and ability to cope with work pressure
  • Proven proficiency in MS Outlook, MS Word, Excel and PowerPoint
  • Work experience in fashion apparel, sourcing industry is preferable
  • Excellent command of written and spoken English, speaking German is an added advantage
