Enfants du Monde (EdM) is a Swiss non-governmental organization (www.edm.ch), based in Geneva, whose mission is to help and protect disadvantaged children, working in development cooperation and focusing its efforts in the areas of education and health. EdM closely works with local organizations implementing 15 programmes in eight countries (Bangladesh, Burkina Faso, Niger, Benin, Guatemala, El Salvador, Colombia, and Haiti). More than 85,000 children and their families directly benefit from these programs. In addition to funding programmes, EdM gives technical support to its partner organizations.

Job Description / Responsibility:

Overall Responsibilities

  • Provide day to day support in areas of finance, accounting, administration and compliance of the Regional Office
  • Maintain financial software in an accurate and timely manner
  • Liaison with bank, manage petty cash and reconciliations
  • Maintain financial documents including vouchers, purchase requests, invoices and other required supporting documents
  • Maintain financial document filing system
  • Prepare periodic financial reports
  • Ensure smooth day to day administrative management of the office
  • Ensure appropriate usage and safeguarding of office assets
  • Maintain appropriate relationship with NGO Affairs Bureau
  • Work with local implementing partner NGOs to ensure preparation of budgets and accurate and timely financial reporting

Specific Tasks 

Financial activities:

  • Prepare financial data entries in the accounting software
  • Ensure timely preparation of financial reports and documents
  • Prepare staff salary sheets, calculate and do withholding of Tax and deposit of the same to Government Treasury in an accurate manner;
  • Review vendors’ invoices, purchase requests, quotations, bid matrix and other relevant supporting documents;
  • Prepare payment/receipt vouchers and ensure disbursement to vendors in a timely and accurate manner. Calculate and do withholding of Tax/VAT from vendors’ invoice and deposit of the same to Government Treasury in an accurate manner;
  • Deal with and act as custodian of office petty cash, perform cash counting and do petty cash reconciliation on a timely manner;
  • Work with auditors during performing external and internal Audit;
  • Work with local implementing partner NGOs to ensure preparation of budgets and accurate and timely financial reporting;
  • Other duties as assigned by the Country Coordinator that are consistent with the overall focus of the assignment;

Administrative activities:

  • Perform all types of procurement tasks and negotiate contracts with vendors and the office landlord
  • Schedule and arrange travel requirements for staff 
  • Inventory management and recording the items in inventory list
  • Maintain liaise with NGO Affairs Bureau as necessary
  • Track and update staff leave records and timesheet
  • Other duties as assigned by the Country Coordinator that are consistent with the overall focus of the assignment.

Educational Qualification:

  • Master’s Degree in any finance or accounting related discipline.

Experience:

  • Minimum 5 years of working experience in NGOs or development organizations in finance and administrative unit.

Additional Job Responsibility:

  • Sound knowledge in financial management
  • Good oral and written English skills

Job Location: Regional Office of Enfants du Monde at Dhaka

Salary Range: Negotiable based on experience
