Currently, Concern Worldwide, Bangladesh is looking for a suitable candidate for the following position:  

ADMINISTRATIVE OFFICER- FRONT DESK: The Administrative Officer- Front Desk is responsible to ensure an effective and efficient provision of reception services enabling Concern’s staff, visitors, programme participants, guests and partners to be warmly welcomed and professionally received and refreshed at offices of Concern. This includes responsibility for smooth and effective communication both internally and externally as well as smoothly carrying out assigned duties to ensure functional office administration.

Major Areas of Responsibility:

  • Ensuring all staff, visitors, programme participants, guests and partners coming to the Concern’s office get a warm reception with friendly and professional greeting
  • Ensuring all international staff, guests and visitors coming from outside Bangladesh are provided with a comprehensive welcome pack on arrival including mobile phone with directory, city map and security report;
  • Making and answering phone calls promptly and professionally as requested by the staff and in response to incoming calls callers and dealing politely with the queries and questions in a timely and friendly way;
  • Ensuring an up to date phone directory is available at all times to be used in office and by Concern staff when needed;
  • Ensuring all outgoing mails, courier and parcels are recorded properly, sent on time and ensuring receipt of delivery;
  • Ensuring that provision of refreshment for Concern staff, guests and visitors by high quality canteen and refreshment facilities;
  • Ensuring an up to date record keeping system is in place to strengthen security system and support implementation of security management plan
  • Enabling a friendly collaborative working culture within the team, actively sharing information and knowledge to enable the team to ensure effective learning and sharing across the organisation.
  • Providing support to organize internal meetings/workshops;
  • Be aware of, understand and comply with all of Concern’s policies and procedures (P4, finance, logistics, HR, security management etc.)
  • Orientating partner NGOs and other stakeholders on the Core Humanitarian Standard (CHS), and in particular the Complaint Response Mechanism (CRM);

Key Requirements:

  • Bachelor Degree from Government authorized reputed university (preferably in English, Social Science and Business Administration)
  • Minimum two (02) years of progressively responsible professional experience in Reception or Front Desk and administrative support service
  • Ability to communicate effectively both verbally and in writing with members of the staff, management and outside organisation having proficiency on English and Bengali language both speaking and writing
  • Good working knowledge on computer operation (Windows, MS Word, MS Excel, Power point, Outlook, Internet.
  • Familiar/working knowledge on using machines i.e. Photocopier, scanner, PABX system
