Administrative Support Officer for HRD&M Department

01 position, based in CARE Bangladesh Dhaka Office

The duration of the proposed contract is up to three (03) years.

The Administrative Support Officer (ASO) will work closely with HR Coordinator, GLD Coordinator, Human Resource Officers and other team members in dealing with Human Resources management functions. This position is designed to provide administrative and logistic support to the day-to-day operations of the HR Department. The individual must be well conversant in dealing with national employee matters according to CARE-BD policies, procedures and staff development issues, as well as Labour Laws of Bangladesh. S/he will be responsible for providing assistance in all the functions under HR Department as and when necessary.

Responsibility # 1: Organize HR documents

35%

  • Help the relevant Senior HR Officers and HR Officer in preparing and updating employee’s personnel confidential files for the assigned projects/depts.
  • Help the relevant Senior HR Officers and HR Officer in preparing and maintaining the Recruitment Files.
  • On behalf of Senior HR Officers and HR Officer collect signatures from Hiring Managers, Interview Board Members on Recruitment Memos and file those in an organized way.
  • Provide logistic support as required by all the staff members of the HR department, such as photocopy, scanning, spiral binding, etc.
  • Support Senior HR Officers and HR Officer in organizing PCF Room as and when required.

 

Responsibility # 2: Assist in Recruitment and Selection Processes

30%

  • Assist in emailing interview information/letters, along with Job description and preliminary job application to the shortlisted candidates.
  • Contact the shortlisted candidates over phone and follow up as and when required to know their availability.
  • Help to organize different interviews (Viva & Written Test) and provide all logistic support related to the interview processes.
  • Work as invigilator during written tests, as and when required.

 

Responsibility # 3: Support to Staff Development Activity

20%

  • Help the GLD Coordinator in recruiting Interns and Development Trainees.
  • Help the GLD Coordinator in arranging any training/ workshop and other purposes.
  • Contact different persons when required (regarding Internship and other training), such as workshop participants and resource persons.
  • Collect necessary documents for the monthly payments of Interns and short contract staff.

 

Responsibility # 4: Support to HRIS and relevant logistics

15%

  • Help departmental staff in drafting specific document as requested
  • Filing HRIS and Compensation relevant documents such as VAT/ TAX documents, TIN certificate, Increment Letters etc.

Based in CARE Bangladesh Dhaka Office.


V. Qualification:

  • Should have 2-3 years experiences in the relevant field.
  • MBA (HRM)/Masters in any discipline from reputed University. Having HR related Diploma/courses will be an added advantage. Educational qualifications can be relaxed if the candidate has adequate skills and experience.
  • Good IT skills.
  • Good interpersonal and communication (oral, listening, writing) skills.
